Job Description Summary
The Charles L. Blount Center and Blount Hall serve as outreach and educational facilities in the heart of downtown Gainesville and are close to the University of Florida UF Innovate CareerSource and East Gainesville. At the Blount Center you can take classes toward an A.A. degree continue your education in Community or Continuing Education classes or complete your GED. Blount Hall is home to the Colleges Bachelors A.S. degree and certificate programs in Business Programs and Information Technology Education (ITE). Additionally the Center for Innovation and Economic Development (CIED) provides services for startup companies that drive the innovation economy in Gainesville.
The Blount Center is seeking an organized punctual and reliable part-time Support Specialist to provide administrative support through professional customer service record maintenance and assuming responsibility for a variety of activities that are very specific to the area assigned. The Support Specialist will complete a wide range of basic office support and assist with the general coordination of day-to-day operations through student support room reservations and other program and academic support tasks. Additionally this position requires flexible availability including early mornings evenings and some weekends and will typically work 25-30 hours per week and will work no more than 30 hours unless special notice has been given. At no time will you asked to work overtime without prior approval from the Blount Center Director.
Job Description
Responsibilities and Duties Include:
- Provides support activities for the Blount Center such as answering telephones assisting in the preparation for special events scheduling appointments or assisting students college employees and the public by responding to concerns/inquiries and providing some front-line level of resolution while making appropriate referrals as necessary.
- Assists in the planning and coordination of special events which may include logistics contracts staffing hospitality etc.
- May assist students with application and enrollment processes and provides department specific aid and guidance as appropriate.
- Communicates collaborates and maintains relationships with internal and external community constituents.
- Distributes correspondence and other materials to department staff and faculty.
- Acts as a liaison for event needs with vendors and other campus entities; execute policies and procedures related to reservations.
- Builds and maintains a comprehensive database of industry contacts vendors and spaces at Blount Center with multiple layouts.
- Provides administrative support making travel arrangements department purchasing inventory and requisitioning of supplies equipment and furniture.
- Reconciles department budget reports by compiling and logging supporting documentation records.
- Assists in the billing and collections process.
- Assists with the management and maintenance of facilities which may include arranging for corrective and preventative maintenance or ensuring cleanliness and sterile conditions.
- Submit work orders for additional services (facilities team IT team police dept).
- May open secure and maintain schedules for rooms labs and lecture halls.
- May schedule or assist in scheduling appointments meetings and/or conferences and maintains awareness of event schedules and building activity.
- Conduct event logistics planning meetings in the absence of Office Supervisor; assist in preparing pre/post planning meeting files (estimates diagrams etc.)
- Attends mandatory department meetings trainings and events.
- May interview hire schedule and supervise the work of other employees.
- Maintains confidentiality and security of student and/or department records and other sensitive information.
- May assist in the development or upkeep of the department webpage.
- Complies with all published College Rules procedures guidelines and laws/regulations governing public employees including but not limited to those related to document retention and destruction FERPA and confidentiality.
- Provides service excellence through courteous informed accessible and professional engagement
- Performs other duties as assigned.

QUALIFICATIONS
Required: A high school diploma or equivalent with two (2) years of related work experience or a combination of completed education and/or related work experience equal to two (2) years.
Additional Requirements: A criminal background check will be conducted.
Preferred: Exceptional customer service skills with prior customer service and public relations experience preferred.
