Job Description

The Project & Operations Administrator reports directly to the VP of Operations and is responsible for providing administrative support to the day-to-day operations and the project management team.

As the Project & Operations Administrator at Ashton Construction Services (ACS) you will:
  • Review distribute and maintain invoices related to the project management and operations teams
  • Assist operations team to ensure consistent and accurate entry of subtrades and vendors in accordance with formatting standards
  • Support project setup and closeout activities including organizing executed contracts preparing project filings/folders preparing closeout documentation and archiving project files in accordance with company standards.
  • Provide asset and fleet management support by maintaining accurate records tracking usage scheduling maintenance and coordinating registrations inspections insurance renewals and various parking permits.
  • Monitor shared communication channels to direct inquiries to appropriate team(s).
  • Review and track subtrade WCB coverage maintain up-to-date records and communicate compliance status to project teams.
  • Provide general administrative support to VP of Operations Construction Manager Project Managers HR and Sales & Marketing teams.
  • Ensure timely completion of monthly tasks including month-end invoice circulation and statutory declarations.
  • Support project teams by preparing meeting agendas capturing detailed minutes for internal meetings and distributing post-meeting to ensure alignment on tasks responsibilities and deadlines.
  • Assist with receipt and verification of incoming deliveries and project materials.
  • Troubleshoot day-to-day IT issues and coordinate services and maintenance related to head office facilities.

Qualifications & Experience
  • Minimum 1 years experience in administrative role or equivalent.
  • Proficient in Microsoft 365 (Outlook Excel) with strong formatting document creation and data management skills.
  • Demonstrated ability of strong written and oral communication.
  • Experience with construction project workflows and software tools (Procore QuickBooks Online inBuild) considered an asset.
  • Highly organized and detail-oriented self-starter with strong multitasking abilities and a solution-focused mindset.

Additional Requirements
  • Must have and maintain a valid Class 5 license with clean driving record.
  • Eligible to legally work in Canada without employer sponsorship.
  • Must live in the Bow Valley or able to commute to office on daily basis.
Compensation & Benefits
  • Remuneration based on experience starting at $26/hr.
  • Part-time position with flexible working hours (20-25/week) and option for hybrid work to support work-life balance and family time.
  • Cell phone allowance and access to company fleet as required.
