ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Counts records tracks and classifies assets. Coordinates updates and maintains the tracking database for new and existing capital assets including asset identification tagging location identification physical count and departmental equipment custodians.
- Update asset management system for type quantity location and value of capitalized and controlled assets making appropriate data base changes pursuant to classification criteria and control procedures.
- Identifies and corrects discrepancies in coding of assets
- Identifies assets previously not recorded and barcode non-coded assets.
- Tracks and records transfers of assets between organizational units. Works with Finance Accountants to reconcile asset inventories to the capital asset listing on a quarterly basis. Make any updates changes or corrections with Finance Accountants in a timely manner. Works with Finance Accountants on the coding life expectancy salvage values and depreciation of all fixed assets.
- Assists with the annual external audit in terms of PBC requests internal controls valuation schedules reports calculations and all other audit requests relating to fixed assets. Conducts analyses related to asset inventories as requested by management. Prepare departmental transfer damage disposal and inventory balance reports and other asset management reports as required for auditors management and other interested parties.
- Assists with the development updates and implementation of written processes and procedures for identifying tracking transferring reporting disposing and safeguarding of fixed assets.
- Identifies existing assets without identification tagging numbers and assigns new identification numbers to the asset module.
- Coordinates and maintains FDIHBs property (Capitalized and Sensitive equipment). Maintains the accounting and reporting systems for all accountable non-accountable property. Assists with the development of procedures to ensure accountability of all assets.
- Applies appropriate controls on sensitive items (i.e. laptops cameras etc.) and maintains records indicating the location of property to prevent loss. Periodically conducts random audits of sensitive items to ensure they are accounted for in order to prevent loss.
- Determines executes and documents all property transfers moves destruction and donations. Ensures proper documentation of all items received/disposed of in the property database. Physical disposition of property after disposal process completed in the accounting system and all records completed.
- Conducts the annual physical inventory of all capital items and performs other counts for inventory verification as requested. Accurately performs count of property and recounts if necessary. Makes simple arithmetical computations to reconcile physical count with inventory records and other requests. Will at times be asked to research and search for missing property. Account for shortages and provide accountability documents for lost and/or damaged assets.
- Assists departments with moving furniture and other equipment
- Maintains a consistent high quality customer-focused orientation when conducting business and providing services to staff and other external customers. Communicates with customers and obtains all required information necessary to determine and address their specific needs; tactfully explains why if service cannot be provided. Provides clear accurate information. Explains procedures or provides supplemental information. Anticipates problems and questions.
- Provides cross training to relevant staff in relation to fixed asset processes and procedures as required.
- Maintains any offsite storage facilities.
- Assists with records storage as needed.
- Participates in staff development activities to improve job-related skills.
- Establishes and maintains effective working relationships with supervisors and coworkers.
- Perform other duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS:
Experience:
Minimum of three (3) years experience in an inventory setting.
Education:
Associates degree in business accounting or related field or equivalent experience and training.
