Job Description

INDUSTRY CLASSIFICATION: MARINE CONSTRUCTION

TITLE: PERMIT EXPEDITER

LOCATION: LIGHTHOUSE POINT FL (OPERATING AREA: BROWARD MIAMI-DADE AND PALM BEACH COUNTIES)

FUNCTION: ADMINISTRATIVE DAILY LOCAL TRAVEL REQUIRED

CLASSIFICATION: FULL TIME NON-EXEMPT HOURLY

REPORTS TO: OFFICE MANAGER


POSITION SCOPE AND ORGANIZATIONAL IMPACT

A Dock Experts Permit expediter plays a critical role in ensuring our marine construction projects start and end in as timely a fashion as possible. As part of a permitting team the expediter coordinates inspection timings travels to and works directly with municipalities transport permits to and from jobsites tracks and accelerates projects and coordinates with project superintendents and office personnel to improve the timelines by which our customers can start truly enjoying their waterfront properties. High levels of integrity accountability foresight and an unshakable ability to maintain a consistent positive can-do attitude are necessary in upholding our TDX standard.


ESSENTIAL JOB FUNCTIONS


General expectations

- Ensure all permit applications are complete and accurate
- Proactively identify/reduce/prevent procedural delays
- Maintain accurate and complete record details of all surveys inspections and permits including pile logs engineer letters locations types statuses dates required next action and other relevant information
- Prepare reporting and provide regular and ad-hoc updates on all permit activity
- Coordinate and maintain positive working relationships with office and field staff contractors developers engineers subcontractors inspectors state/local government officials and other professionals throughout the process
- Respond to customer inquiries and educate them on permit requirements inspection process and set realistic expectations based on state and local permitting timelines
- Monitor status and expedite applications as necessary to ensure inspection progress is completed in accordance with permit timelines
- Serve as liaison between the organization and regulatory agencies during inspections


Inspection coordination

- Coordinate day-of timing for inspections with all subcontractors and foreman/PM
- Confirm and track survey results with municipalities & facilitate next steps
- Maintain list of up-to-date inspector contact info


Pile log & engineer letters

- Track and communicate when piles are being placed so pile logs and engineering letters can be ordered timely
- Maintain communication throughout project with engineers and coordinate site visits
- Submit pile logs and engineer letters to municipalities to satisfy permit inspection requirements


Survey ordering tracking and administration

- Be the primary point of contact with survey companies and coordinate with management to schedule and approve surveys as necessary
- Submit surveys to municipalities for permit inspection approval as required
- Building location surveys as-built surveys. Etc.
- Submit as-built surveys at project close as required for all municipalities


Permit running

- Traveling to appropriate municipalities to submit and retrieve initial revised approved and denied permits
- Scan new permits and log/track
- Print new permits
- Retrieve permit payments from clients
- Transport permit packets (new and revised) to and from clients
- Record and communicate notice of commencement (NOC) dates and statuses
- Perform bank runs and any other miscellaneous runs as needed


Office administrative duties

Answer phones submit new leads to the sales team and enter/update in our CRM coordinate with office staff as needed



Requirements

ESSENTIAL JOB EDUCATION AND EXPERIENCE REQUIREMENTS

- High school diploma or equivalent
- Proven experience in administrative support or customer service

- Previous experience working with permits or in a construction office

- Strong time-management skills and ability to manage multiple projects simultaneously

- Strong communication skills interpersonal skills and follow-through

- Ability to maintain brisk work pace & timeliness of project completion

- Excellent written and oral communication skills

- Excellent research skills attention to detail organization and problem-solving skills

- Proficient in Microsoft Office with aptitude to learn new software and systems

- Ability to pass examination to comply with our drug-free workplace policy

PREFERRED EXPERIENCE & CERTIFICATIONS

- Associates degree or higher

- Bilingual (English/Spanish)
