Job Description

Operations Manager Location: Portland ME (Hybrid) Salary: $42500/year fixed (Exempt Full-Time) Reports to: LearningWorks Afterschool Portland Director This is a temporary fixed term role for the 2025-2026 school year program with the potential to become a permanent position.

About LearningWorks After School (LWAS) Learning Works provides high-quality afterschool programs that inspire learning foster community and support youth development. We are seeking an Operations Manager to help ensure our programs run smoothly efficiently and with the highest quality for the students and families we serve.

Position Overview The Operations Manager will coordinate the administrative and operational functions of our afterschool programs. While this is not a supervisory role the position plays a key part in maintaining program quality logistics and compliance. The role includes occasional classroom coverage and contributions to program strategy.

Key Responsibilities

  • Maintain and update program databases to ensure accuracy and accessibility
  • Develop and distribute asynchronous activity kits aligned with program goals
  • Review lesson plans for completeness and consistency
  • Manage the master program calendar including activities field trips and events
  • Oversee procurement of supplies maintain inventory and process receipts
  • Coordinate logistics for food service transportation and field trips
  • Provide classroom coverage when needed
  • Administer Program Quality Improvement (PQI) observations and track federal grant data
  • Support onboarding and training of new staff
  • Perform additional duties as assigned

Qualifications

  • Education: Bachelors degree preferred; equivalent experience considered
  • Experience: Minimum 2 years in program administration education support or operations in a youth-focused setting
  • Skills:
    • Strong organizational skills with attention to detail
    • Proficient in Google Workspace and database systems
    • Experience with survey tools; basic graphic design skills a plus
    • Effective written and verbal communication
  • Other: Valid drivers license preferred; current certifications (e.g. First Aid/CPR) required and maintained

Work Environment & Physical Demands

  • Hybrid position with regular travel to program sites
  • Frequent standing walking and occasional lifting (up to 25 lbs)
  • Routine use of computers phones and office equipment
