Boston Universitys Department of Biology seeks an Office Coordinator to act as the primary and first point of contact for visitors to its main administrative office. There are two overarching components to this position: (1) handling inquiries including phone calls emails web submissions to the Biology Department main office according to department priorities and protocol; and (2) providing administrative support for Biologys large teaching and research operations particularly its undergraduate program. The incumbent will assist visitors with inquiries provide administrative support by either directly addressing or directing those to other Biology staff faculty and/or central units. Other responsibilities include ordering supplies sorting mail scheduling room reservations and conducting initial student screenings during advising. They will also assist with departmental events and department deliveries as well as maintaining departmental databases. This role involves supervising Work Study students ensuring that operational procedures and basic etiquette are followed and accurate information is disseminated to dept stakeholders. The ideal candidate will possess good interpersonal written and oral communication skills and must be able to function independently prioritize work with tact and discretion. The ability to follow-up until issues are resolved and tasks are completed across broad and varying activity is a critical skill for this position. The Biology department is a large collaborative and dynamic environment that values diversity and inclusion. A cover letter is required for consideration. Filter and disseminate materials and information in a timely manner to the appropriate destination point in a professional manner. Prepare and maintain department information lists for interdepartmental use. Ensure smooth operation of front desk.
Associates Degree required 1-3 years of relevant work experience
