This is a hybrid role based in our Warsaw office with two days a week in the office and three from home.

The Role:

Were searching for a hands-on digitally confident Internal Communications Coordinator to run the daily operations of our internal platforms including Microsoft Teams Viva Engage our intranet and digital signage. If you thrive on turning dashboards and digital metrics into clear insights and love making digital tools work smarter this could be the role for you. You should feel at home behind the scenes of platforms enjoy problem-solving and be quick to learn new systems.

Youll combine your technical know-how with a strategic mindset ensuring our channels drive effective communication and collaboration globally. Its a central coordinating role where project management is second nature - from guiding regional campaign rollouts to supporting cross-team initiatives and coaching colleagues on best practices.

Responsibilities:

Communication Campaign Processes and Operations

  • Manage the daily operations of our internal channels (intranet digital screens Viva Engage Teams) including posting content scheduling moderating updating troubleshooting and general upkeep.
  • Act as the main contact for any channel questions or issues escalating technical problems when needed.
  • Support and train colleagues on how to use channels effectively offering guidance tips and tools for content creation and engagement.
  • Create and update user guides tip sheets and quick training materials.
  • Maintain content calendars and coordinate campaign launches or company-wide announcements with other teams.

Communication Metrics Reporting & Insights

  • Gather and organize data from all channels to deliver clear reports on how campaigns and platforms are performing.
  • Analyze engagement and feedback to recommend ways to improve channels and content.
  • Build and update quarterly dashboards tracking key metrics preparing useful insights and summaries for leadership.
  • Organize and lead quarterly review meetings with teams to discuss results and next steps.
  • Work with the Manager Strategic Initiatives and Operations to design impactful dashboards and visualizations.

Project Management & Stakeholder Coordination

  • Assist the Manager of Operations & Strategic Initiatives with internal communication projects focusing on global and cross-regional efforts.
  • Coordinate with regional leads and other teams to adapt and roll out global projects keeping everyone aligned and on schedule.
  • Help plan and execute global webinars campaigns and multi-region projects.

Teamwork & Collaboration

  • Foster a collaborative and constantly improving team environment by suggesting better processes and supporting colleagues.
  • Share knowledge and help upskill team members through resources and peer support.
  • Take on special projects or ad-hoc tasks that support the teams communications and strategic goals.

Knowledge and experience:

  • 2 years in internal communications or digital marketing
  • Confidence using internal comms platforms (e.g. Microsoft Teams Viva Engage intranet systems digital signage tools)
  • Ability to track interpret and present metrics; experience with dashboards (Power BI Excel or similar)
  • Experience onboarding or supporting others with digital tools
  • Excellent project management skills and attention to detail
  • Strong written and verbal English communication skills
  • Bonus: basic design or video editing skills (e.g. Canva Capcut)
