Reports To: Director of Annual Giving & Development Operations

Position Type: Full Time

Pay rate:$24-26 per hour

Position Overview

Friends School of Baltimore seeks a full-time Advancement Assistant available immediately.
This 12-month full time hourly position serves as administrative and programmatic support for
the overall Advancement Office and specifically for the Chief Advancement Officer and the
Associate Director of Advancement.

Responsibilities

The duties of these positions include but are not limited to:

  • Serve as the primary administrative support for the Chief Advancement Officer and the Associate Director of Advancement.
  • Serve as the office manager for the overall office and team.
  • Maintain various calendars. Set up meetings events small and large gatherings in coordination with team members locally and regionally as directed.
  • Assist with morning night and weekend events and meetings by taking minutes managing attendance setting up catering preparing materials etc...
  • Ensure the efficient day-to-day operations of the Advancement Office by submitting facilities work orders tracking purchase orders and expenses reconciling deposits and monitoring budgets as directed monitoring inventory ordering supplies and organizing common areas.
  • Support the Major Gifts team and the stewardship/cultivation functions of the office as directed by the Chief Advancement Officer. Responsibilities may include: producing custom donor acknowledgements events planning and logistics data entry and action tracking content development calendar management and appointment scheduling travel arrangements minutes notes-taking assisting with top prospects and volunteer committees.
  • Provide logistical support and take on responsibilities for important annual events such as major donor dinners/receptions and cultivation events grandparents day activities and Alumni Weekend. Assist with tracking and/or proofing event activities as needed (entering attendance; payment information; credit card processing; payment reports and deposits; and event report generation).
  • Other duties as assigned.

Qualifications:

Successful candidates will possess the following qualifications:

  • Bachelors Degree required.
  • Demonstrated interest in supporting nonprofits through fundraising and specifically the Friends Schools mission through the work of the fundraising office.
  • Commitment to working 40 hours per week on campus.
  • A positive and professional demeanor.
  • A desire to provide concierge-level customer service.
  • Commitment to maintaining confidentiality and upholding high standards of integrity.
  • Highly skilled in Microsoft Office Suite; including Outlook Word and Excel and Zoom.
  • Exceptional organizational skills and a demonstrated ability to successfully balance priorities and meet deadlines.
  • Excellent interpersonal verbal and written communication skills.
  • Approach new projects and skill development with curiosity and enthusiasm.
  • Ability to learn quickly and work with a dynamic constituent relations team and at same time work on projects independently.
  • Willingness to attend and support early morning evening and weekend events/meetings.
  • Understand the importance of attention to detail.
  • Flexible and adaptable to a fast-paced environment and changing priorities.
  • Familiarity with database work (such as Raisers Edge Financial Edge PCR etc.) a plus!
