Job Summary

Provides administrative support work in assisting district administrators in planning coordinating monitoring and facilitating administrative actions and processes.

Additional Duties required for this position:

  • Maintains School Board-wide position control and budget transactions records.
  • Establishes and maintains report record file and information systems in compliance with School Board and Budget Office policies and procedures.
  • Reviews documents and files for completion and accuracy and routes to proper sources.
  • Responds to inquiries and interprets and explains School Board budget practices and procedures.
  • Gathers and analyzes budget information and develops complex spreadsheets.
  • Reviews and verifies employee time reports and leave requests and prepares payrolls and maintains leave records.
  • Assists schools and departments with preparing and balancing spring and fall budgets. Meets with and advises school and district administrators on budget development.
  • Reviews and processes set ups; additions and deletions of positions; and set ups for payments for personnel working outside of their normal contract.
  • Assembles fiscal information for use in budget preparation.
  • Monitors expenditures and makes recommendations for meeting budget targets.
  • Reviews cost coding for purchase requisitions and district expenditures.
  • Answers inquiries for schools and/or departments and provides resolution for SAP issues budget transfers purchase requisitions PCFs FTEs and year end closing.
  • Assigns and creates cost centers fund numbers and fund applications. Load budget data for debt and internal funds.

Probation:Six (6) months

Qualifications

Open requirements:Four (4) year combination of education training and experience in administrative work or related area.

Promotional requirements:NA

Licensing:Depending upon assignment a valid Florida Drivers License may be required prior to appointment and must be maintained during employment in this class.

Knowledge Skills and Abilities

  • Knowledge of administrative practices methods and procedures relating to administrative support areas
  • Knowledge of research and statistical methods and techniques
  • Strong word processing spreadsheet database diagramming and/or presentation software skills
  • Strong oral written and interpersonal communication skills
  • Strong data research compilation analysis and presentation skills
  • Strong calculator personal computer fax and office equipment operation skills
  • Ability to resolve work related problems or complaints
  • Ability to use judgment in search for solutions or improvement to work processes
  • Ability to coordinate work activities
  • Ability to research and compile data prepare written reports and correspondence
  • Ability to interpret laws rules and regulations
  • Ability to operate standard office equipment such as personal computers copiers fax machines and related equipment
  • Ability to read understand and apply job-related rules policies and procedures
  • Ability to prepare reports
