What Youll Work On
As the Commercial Coordinator youll play a key role in supporting both internal operations and external recruitment efforts for our Clinical Associate Program. This individual will collaborate closely with Finance HR Shared Services and the Clinical Associate Program Manager to ensure seamless employee transitions accurate documentation and effective candidate engagement.
Employee Promotion & Documentation Support
- Collaborate with Finance to verify promotion details and Term of Year (TOY) extensions and prepare the necessary documentation for each case.
- Route completed promotion and TOY extension documents to the appropriate stakeholders and maintain accurate tracking of their status through completion.
- Review finalized documentation for accuracy and coordinate with the HR Service Center to ensure timely processing.
- Ensure all records are properly filed in employees permanent files in accordance with documentation standards.
- Monitor procedural case data to validate promotion eligibility and ensure timely accurate advancement of Associates who meet the established criteria of the Clinical Associate Program.
- Identify and implement process improvements to enhance the efficiency and accuracy of the promotion workflow.
Recruitment Support: Clinical Associate Program
- Assist in planning and executing on-campus recruitment events to attract top talent for the Clinical Associate Program. Coordinate event logistics and post-event activities.
- Conduct initial phone screens with potential candidates to assess qualifications.
- Coordinate interview scheduling with hiring teams and candidates across multiple formats ensuring all participants have the necessary details and materials.
- Maintain accurate candidate tracking and follow-up throughout the recruitment process to foster a professional and positive candidate experience.
- Assist in creating immersive experiences that introduce candidates the field of electrophysiology and enhance interest in future opportunities within the program.
- Maintain engagement with early career prospects monitor their progress and facilitate seamless transitions into full-time roles.
Onboarding Support
- Collaborate with Clinical Associate Program Manager to arrange and support onboarding activities for new hires.
- Ensure new employees receive timely communication resources and guidance during their transition.
- Track onboarding progress and provide administrative support to ensure all required documentation training and system access are completed on schedule.
Required Qualifications
- Bachelors degree or equivalent experience in Business Human Resources or a related field.
- 13 years of experience in administrative HR or recruiting support roles.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite and applicant tracking systems (ATS) is a plus.
