What you will be doing

As a member of the School of Access Education and Language reporting to the Academic Chair managing the Adult Learning Program (ALP) for the Institute of Technology Campus you will:

  • Provide a full range of administrative support services to the ALP Counsellor
  • Be responsible for digital record keeping and file management inputting and retrieving data running reports managing and updating student records
  • Be responsible for individual course maps tracking the credits and current enrolments of hundreds of ALP students
  • Support applicants and respond to their enquiries while liaising with Admissions and the ALP CounsellorsProvide the following support services:
    • Identify applicants and incomplete applications for entry into the Adult Learning Program
    • Prepare the course map needed for the intake assessment process
    • Maintain student course maps tracking their credits and enrolment
    • Maintain systems supporting graduate planning and tracking
    • Support transcript review at the direction of the ALP Counsellors
    • Support systems tracking students completion of intake forms for funders
    • Make and field telephone Teams and email enquiries about ALP

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Office Administration. High school completion with significant years of administrative experience (10) will also be considered.
  • You have a minimum of two years (full-time equivalent) recent and related occupational experience in a fast-paced office environment.
  • You have occupational experience that includes digital records management.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite including Microsoft Teams SharePoint Excel and email.
  • Knowledge of running reports from enterprise systems like PeopleSoft would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology in advancing your work.
  • Occupational experience supporting/providing service to students and prospective students in a post-secondary educational environment would be considered an asset.

  • You have proven records and information management skills and abilities specifically related to student records management including transcript and tracking graduation pathways.
