Job Description

Job Summary

The Coordinator - Student Group Services (C-SGS) is a full-time/part-time term position in the Student Services portfolio. The C-SGS supports the operations of Student Group Services (SGS) and is required to have a general academic and non-academic knowledge of the University of Alberta. SGS operates in close collaboration with Student Success and Experience staff as well as other Students Union and University Units to support and encourage a vibrant student life climate on campus.

This position supports student group administration (including registration training and physical space allocation in the Students Union Building) and general support for student group members and leaders. It requires a high level of collaboration with existing units within the Student Services units and across campus. This position has a strong focus on advising administration and project work.


This is a contract position with a start date of October 6 2025 and an end date of September 30 2026. This position works part-time at 20 hours per week from September through April and full-time from May through August at 37.5 hours per week.


Duties & Responsibilities

  1. Provide direct student service including responding to email phone and in-person inquiries related to Student Groups;
  2. General administration of the service including new and returning group recognition application processing document review as well as maintaining and organizing databases;
  3. Troubleshoot the Rubric platform and other student group management platforms;
  4. Preparation of the Student Group Services newsletter;
  5. Administration of the Student Group Flex Space and Storage program spaces in SUB;
  6. Coordinate Group Leader Orientation (G.L.O.) programs including content updates and some session facilitation;
  7. Propose develop and update resources to support student group operations;
  8. Internal event planning and execution support including the Fall and Winter Clubs Fairs;
  9. Student Group event support including referring students to relevant on campus resources;
  10. Gather track and maintain program data;
  11. Contribute to goal setting for the service and its programs;
  12. Other duties as assigned by the Program Lead - SGS and/or Assistant Program Lead - SGS.


Qualifications

Minimum Qualifications

  1. Must be an undergraduate student at the University of Alberta enrolled in at least one course in each of the fall and winter sessions during the term of employment;
  2. General academic and non-academic understanding of the University of Alberta;
  3. Eligible to work in Canada (including students who are in Canada on a study permit);
  4. The ability to work on-site at our offices at the University of Albertas North Campus in Edmonton Alberta;
  5. Availability to work varying hours including possible evenings and weekends during the school year.


Preferred Qualifications

  1. Previous involvement with student groups on campus especially in a leadership role;
  2. Strong administration and organization skills;
  3. Experience with customer service including in-person on the phone and over email;
  4. Good problem-solving communication and conflict-resolution skills;
  5. Ability to adapt to changes in administrative processes and workplace structures;
  6. Experience with relevant technology including Google Apps (especially Google Sheets Docs and Forms) ActiveCampaign (or similar newsletter host technology) and e-learning platforms such as eClass and Canvas;
  7. Experience leading volunteers committees meetings and/or training sessions.


Supervision

Supervision Given

This position does not provide formal supervision to any other staff position. Informal support including peer-to-peer coaching and troubleshooting to support front-line staff is a part of daily activities. The C-SGS may supervise volunteers or student committees as needed.


Supervision Received

This position is supervised in their daily work activities by the Program Lead - Student Group Services and Assistant Program Lead - Student Group Services. The PL-SGS and APL-SGS provide coaching support basic Human Resources administration and coordination with other services.


Working Considerations

This position performs work primarily in an office setting on weekdays from 9:00 AM - 5:00 PM with the bulk of the work being completed using a computer. This position occasionally requires staff to work on evenings and weekends due to programming requirements. Limited remote work can be negotiated on an individual basis. This position regularly moves throughout the University campus to attend meetings. Programming requirements may necessitate the lifting moving and setting up of items and materials of up to 50 lbs.
