Education/Requirement

High school diploma required. Medicalterminology course preferred.

Must be a graduate of a state-approvedCNA program and on the Maine CNA Registry.


Purpose of Position

This position assures the maintenance ofsystem accurate medical record keeping utilizing the accepted standards ofHealthcare. This position oversees the medical record functions of allout-patient therapy patients as well. First Atlantic employees are dedicated to lifeenhancement and betterment by committing to improving human condition throughhealing and reducing pain.

Physical Demands & Contacts

Continual walking lifting bendingpulling stretching pushing with occasional sitting. Contacts withAdministrator Director of nursing employees physicians residents familiesallied health care professionals surveyors volunteers and other members ofthe community.

Skills/Qualifications

Reference verifications must be favorablein all significant categories of character and performance. Abilityto work with independence flexibility good judgment verbal communicationcreating a safe environment positive customer relationships. Ability to engageand embrace culture change and communicate additional education/training needstimely to Supervisor. Ability to use a computer to perform word processing excelspreadsheets and medical records system. Medical terminology and previousexperience in a medical records/health information management.

Essential Job Functions & Responsibilities

  • Maintains a working knowledge ofState regulations within the scope of Medical Records.
  • Keeps a supply of new charts readyfor admissions.
  • Audits charts for all admissionstransfers deaths of residents monitor completeness and file accordingly toprotocol; discharge charts in paper form as well as the EMR.
  • Thin medical records periodicallyas instructed- at least quarterly.
  • File all purged medical recordsper policy of FA- ten years.
  • All medical record filing .
  • Workcollaboratively with business office manager to complete internal daily census
  • Communicatefrequently with Clinical Coordinators and Director of Nursing concerningaccuracy of data input information.
  • Answeringthe telephone.
  • Orderingoffice supplies as necessary.
  • Orientingnew clinical staff to Moodle (Online ECS training)
  • Promotesand maintains positive relationships with peers and Residents and workscollaboratively with all departments.
  • Completemedical records requests according to policy.
  • Enterresident demographics in ECS and utilize health info net as needed to obtainresident medical information.
  • Overseeout-patient therapy services to ensure appropriate insurance verification and processestake place according to First Atlantic policies and procedures.
  • Replenishclinical documents at the nurses stations.
  • Completeconsistent assignment spreadsheet via advancing excellence monthly reportresults to Administrator for dashboard.
  • Assistin the triple check process preparing UB04s and demographic information forreview to the clinical team monthly.
  • Assistin obtaining physician certifications as well as tracking compliance.
  • Completemedical records audits per the request of DON and/or CCC.
