The Youth Employment Hub at Sunset Park provides Pre-HSE and HSE classes as well as credential training in technology and sustainable construction and renewable energy. Reporting to the Program Director the Administrative Specialist provides critical administrative support to the program.
Essential Job Functions and Responsibilities:
Provide day-to-day administrative and operational support to the Senior Director.
Provide program information to all stakeholders.
Schedule and complete all initial steps related to program enrollment including operating as the lead point of contact with the organizations Community Outreach and Engagement Team.
Maintain and ensure timely and accurate data entry across systems including Salesforce PTS OSOS and any other data management system as necessary.
Track organize and submit all required participant and contract documentation in alignment with funder guidelines.
Organize and assist with pre-testing and post-testing of TABE.
Manage program logistics such as scheduling tracking attendance coordinating retention outreach paying training and internship stipends and distributing participant incentives (e.g. MetroCards gift cards).
Make student retention phone calls as needed.
Support with preparation and submission of uniformly high-quality internal and contractual reports that are on time and accurate.
Maintain student files in preparation for internal and contractual audits.
Perform all other appropriate tasks assigned by supervisor.
Knowledge Skills and Abilities:
Passion for OBTs mission and purpose and an ability to communicate this passion to others; demonstrated experience working in a fast-paced environment.
An innovative and patient professional dedicated to serving the target population.
Ability to manage time effectively.
Incredibly organized around all paperwork requirements related to clients participation in the program.
Ability to accurately enter information into various databases and spredsheets as appropriate.
Must be able to work flexible days and hours.
Ability to work independently and as part of a team.
Ability to elicit positive feedback regarding performance from public and program participants.
Ability to establish and maintain positive and helpful rapport with both colleagues and program participants.
Must possess a friendly outgoing and professional personality and be able to maintain a high degree of discretion in dealing with confidential information.
Education and Experience/Training:
Associate degree required. BA preferred.
Proficient with Microsoft Office maintaining one or more CRMs required.
Excellent verbal and written communication skills
Bilingual Spanish preferred.
