Job Overview:

We are seeking a detail-oriented and highly organized Accounting Administrative Assistant to support our accounting team. This role involves managing various administrative tasks maintaining accurate records assisting with client communications and using cloud-based platforms like simPRO and XERO. The ideal candidate will have a strong eye for detail excellent communication skills and the ability to manage multiple tasks while meeting deadlines.


Key Responsibilities:

  • Perform administrative support tasks such as preparing engagement letters organizing digital document signing and emailing clients with updates.
  • Assist with follow-ups and reminders for client payments to ensure timely transactions.
  • Identify and resolve discrepancies in accounting documentation and records.
  • Maintain and update all accounting-related databases and spreadsheets.
  • Communicate professionally with clients and internal teams regarding financial updates and inquiries.
  • Collaborate with other departments to ensure consistent data across systems.


Requirements

Qualifications:

  • Proven experience as an Accounting Administrator Bookkeeper or in a similar role.
  • Proficiency in XERO is preferred.
  • Experience with simPRO is required.
  • Familiarity with any cloud-based job and project management software is an advantage.
  • Strong working knowledge of Excel and/or Google Sheets.
  • Excellent organizational and time-management skills.
  • Attention to detail with a strong ability to spot inconsistencies and discrepancies.
  • Clear and professional communication skills both written and verbal.
  • Ability to multitask and prioritize in a fast-paced environment.
