The TurnKey Administrator/Coordinator supports the delivery of construction projects by ensuring all administrative documentation and coordination tasks are completed accurately and on time. This role serves as a central point of communication between project teams vendors and internal departments helping to streamline workflows and prevent delays across all project phases from pre-construction to post-completion.
Job Description:
We are seeking a highly organized TurnKey Administrator/Coordinator to join our this role you will manage key coordination tasks that directly impact the efficiency and success of our construction projects. You will work closely with project managers contractors vendors and internal teams to ensure deliverables are tracked documentation is accurate and schedules are maintained.
This role requires a solid understanding of construction documentation permitting and vendor coordination as well as the ability to identify inconsistencies in contractor proposals and project scopes.
Key Responsibilities:
- Organizing and maintaining project files budgets and schedules in project management platforms like Bitrix and Fieldwire
- Assisting in the preparation and review of client proposals change orders and billing documents
- Coordinating bid packages contractor documentation and permit submissions
- Reviewing quotes and submittals for completeness and consistency with project requirements
- Setting up and managing internal and external meetings distributing agendas and tracking action items
- Supporting cross-functional coordination with architecture MEP branding and procurement teams
Requirements
- Educational Background: Bachelors degree in Civil Engineering Architecture Construction Management or a closely related field
- Work Experience: At least 2 years of administrative or coordination experience within the construction architectural or engineering industry
- Technical Proficiency: Comfortable using construction/project management software (e.g. Bitrix Fieldwire Miro Active Collab) and managing digital workflows
- Analytical Ability: Can interpret scopes of work identify missing or inaccurate information and escalate issues appropriately
