We specialise in real estate advisory project sales and property finance with a mission to simplify the investment journey and deliver lasting value to our clients.
To support our growing client base we re looking for a Virtual Assistant who thrives on people interaction is confident in client-facing communications and understands the property and finance space particularly in Australia but we also welcome experience from the UK or US markets.
In this role you ll be working directly with our property and finance specialists to manage lead flow client communications appointment setting and basic admin tasks. You ll also support our client onboarding follow-ups and database nurturing processes making you a key part of the client experience.
We re looking for someone who s not just organised and tech-savvy but also confident in speaking with clients proactive in solving problems and passionate about helping people achieve their property goals.
Engage with leads and clients via email SMS and phone
Provide updates and support throughout the property or finance journey
Follow up on leads nurture warm prospects and re-engage cold ones
Help schedule consultations webinars or finance reviews with the team
Assist in lead qualification and database segmentation
Maintain accurate records in CRM platforms (e.g. Agentbox ActiveCampaign HubSpot)
Monitor lead activity and ensure timely follow-ups are made
Coordinate marketing touchpoints and campaign flows
Prepare or help organise property investment packs summaries or market insights
Assist in gathering documents for finance pre-approvals or investment analysis
Coordinate with internal mortgage brokers buyer s agents and property specialists
Support back-end operations for deal flow and property pipeline tracking
Use Canva to assist with content creation (property flyers social posts finance updates)
Upload listings or promotions across relevant platforms and portals
Manage email inboxes calendars and meeting schedules for team members
General admin duties as required by sales and finance teams
1 2 years in a real estate property investment or mortgage/finance support role
Excellent written and verbal communication confident speaking with clients
Experience working with Australian UK or US property or finance clients
Strong attention to detail and ability to manage multiple client workflows
Comfortable with tools like Google Workspace Trello CRMs Canva and scheduling tools
Knowledge of property investment strategies finance terminology or loan process
Experience supporting brokers buyer s agents or investment advisors
Previous work in client success or relationship management
