Job Description

This position is responsible for a variety of front office management and administrative functions for the CSM headquarters. Serves as the first point of contact for people communicating with CSM. The incumbent sorts and distributes incoming and outgoing communication to and from CSM employees including telephone calls office visitors mail distribution and special delivery services.

Works closely with her/his direct manager to ensure cleanliness and safety of the office.
Communicates needs to janitor & organizes office cleanups.
Oversees vending machine program; manages office supply inventory control process.
Works closely with key leaders regarding purchase repair & maintenance of office machines and furniture; and other projects as identified or assigned.
Analyze and request pricing proposals for products and services such as: courier and shipping services vending machines office supplies graphic/printing services.
Also processes invoices to ensure timely payment to vendors.
Establishes documents and refines operating procedures for the front desk at CSM resulting in a professional smoothly operating front desk.
This includes incoming/outgoing mail courier deliveries and operation of the multi-line Cisco phone system.
Provides daily front desk coverage daily while overseeing front office responsibilities and completing projects.
Ensure the kitchen and coffee areas are clean dishwasher loaded unloaded and emptied each day and fruit is cleaned/placed in lunchroom each morning.
Professionally and courteously handles all incoming telephone calls and maintains general business knowledge to effectively direct callers to the appropriate area.
Acts as the face of CSM and greets all vendors guests clients and employees in a friendly manner.
Works collaboratively with all employees and departments within CSM.
All written correspondence is accurate and directed to the appropriate audience.
Assists her/his direct manager in training and supervising the part-time Receptionist and any temporary Receptionists that fill in.
Handles scheduling and coverage for all breaks and coverage for vacations.
Assists with motivating and evaluating performance of Receptionist and helps create an accountable culture.
Provides administrative support including: mail word processing spreadsheets and general clerical or project work as requested or needed by stakeholders throughout the office.
Accountable for various office responsibilities such as: file storage in CSMs Long Lake warehouse corporate office clean up days ordering fruit coffee office and janitorial supplies invoice payment and reconciliation P Card review working with HR on employee anniversary program and other duties as assigned.
Responsible for effective self/workload management.
Demonstrates clear written and verbal communication skills.
Promotes collaboration and positive professional work environment.
Attends all daily weekly and/or monthly department/company meetings to ensure proper communication/planning occurs.
Adheres to all CSM Standard Operating Procedures.

Competencies/Skills Required: Minimum of two years of experience in a position with similar responsibilities. Must have a demonstrated high level of interpersonal organizational and analytical skills and be a proven self-starter who is capable of working independently. Must be able to multi-task and handle multiple priorities at the same time. Advanced computer skills are required.

Education: High School diploma or equivalent. College degree preferred.

Physical Requirements: Work is performed primarily in at the front desk and may involve long periods of sitting or standing. Must be able to move freely throughout the office as required. Ability to lift push and pull up to 10 pounds and utilize a computer on a regular basis throughout shift.

Rate: $22.00 USD per hour
