This is a remote position.
We are seeking a Virtual Assistant who will serve as a strategic extension of our client s operations team. This role is designed for a high-performing individual who can take ownership of outcomes not just tasks. You will support a senior team member in managing vehicle listings triaging inboxes auditing broker-submitted documents and streamlining workflows through AI and automation tools.

Upload and Administrative Operations
Upload vehicle listings (Only Cars Only Boats Only Floats Only Trucks) with a daily error rate below 2 percent
Review and flag 100 percent of broker-submitted file issues before end-of-day uploads
Monitor and respond to Facebook page messages and comments within four business hours using Meta Business Suite and standard templates
Manage brand-owned Facebook pages according to documented workflows
System Management and Process Improvement
Draft and maintain standard operating procedures (SOPs) for inbox triage file auditing and listing uploads using AI tools
Prepare weekly dealer ad quality reports using Google Sheets and GPT-based summarization tools
Recommend and implement at least two process improvements related to automation or workflow triage within the first 90 days
Support compliance reporting and lead auditing once core workflows are stabilised
Schedule and Work Hours
Initial schedule: 6:00 AM to 12:00 NN PHT Monday to Friday
May transition to full-time hours based on productivity and performance
No weekend work required
Less than 2 percent upload error rate within the first 30 days
Facebook inbox and comment queues cleared within four business hours consistently
Weekly reports submitted on time with zero gaps
At least one automation-based improvement delivered within 90 days
Demonstrated independence and ownership of all core responsibilities
Minimum Qualifications
Proven ability to use AI tools such as ChatGPT Notion AI Meta Business Suite and Google Sheets to improve operational workflows
Strong written communication skills particularly in asynchronous messaging and client-facing replies
Experience with admin operations data quality audits or upload-heavy environments
Track record of independent work and outcome-based contributions in remote settings
Preferred Qualifications
Experience managing or moderating Facebook Pages or Marketplace listings
Background in vehicle classifieds ecommerce or similar listing-based industries
Familiarity with SOP creation tools such as Notion or Confluence
Experience working with remote-first teams BPOs or high-growth startups
