The Marketing Academy and Rotational Program Coordinator plays a dual role in supporting the Marketing Academy Lead and ensuring the smooth execution of both the Marketing Rotational Program and broader Marketing Academy operations. This role requires exceptional organizational communication and project coordination skills with the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive detail-oriented and collaborative with a passion for operational excellence and talent development.

How You Will Achieve It

Key Responsibilities:

Administrative Assistant

  • Provide high-level administrative support including calendar management travel coordination and expense reporting.

  • Schedule and manage logistics for internal and external meetings including agenda preparation note-taking and follow-ups.

  • Maintain team documents and resources on Microsoft Teams/SharePoint; update organizational charts and distribution lists.

  • Manage Purchase Orders through the financial systems also track payment of invoices as requested. Ensure all vendor activities are aligned with Pfizer legal compliance and regulatory requirements.

  • Coordinate with vendors and internal partners to ensure compliance with procurement and legal requirements.

  • Support team engagement initiatives such as off-sites celebrations and leadership communications.

Marketing Rotational Program Coordinator

  • Oversee the day-to-day operations of the Marketing Rotational Program ensuring smooth execution of all activities and initiatives

  • Partner with Marketing Rotational Program Director and Pfizer Recruiting Teams to develop strategic recruitment hiring and onboarding processes that ensure cohorts are prepared and well-supported during the Rotational Program

  • Assist in recruiting top talent for the program including attending recruiting conferences/events coordinating and conducting interviews managing candidate communications and facilitating the onboarding process

  • Coordinate and facilitate events such as networking sessions guest speaker presentations and team-building activities to enrich the program experience

  • Prepare reports surveys and analyze data related to program performance participant progress and overall effectiveness

  • Support the continuous design testing and management of the Marketing Rotational Program AI Portal

  • Assist with onboarding of new Marketing Rotational Program and Marketing Academy colleagues as requested.

Marketing Academy Operations

  • Manage logistics for Marketing Academy initiatives including webinars skills labs and community sessions.

  • Coordinate invitations scheduling space reservations materials preparation and participant communications.

  • Secure digital support for virtual events (e.g. Teams/Webinars setup AV coordination).

  • Maintain a master calendar of Academy events to support strategic planning.

Qualifications

Must Have:

  • High School Diploma or GED

  • 4 years experience as an executive administrative assistant or coordinator experience

  • Previous experience that demonstrates ability to proactively carry out administrative functions proficiently and to complete quality work in a timely manner.

  • Excellent attention to detail time management organization and prioritization skills with the ability to manage multiple tasks simultaneously

  • Demonstrates strong relationship-building communication and interpersonal skills across all organizational levels

  • Self-starter proactive solution-seeking attitude anticipates team needs and actively identifies opportunities to strengthen results.

  • Strong verbal and written communication skills - ability to mobilize team members and engage leadership.

  • Discretion and trustworthiness in dealing with confidential information

  • Proficiency in Microsoft Office Suite; Word Excel PowerPoint Outlook Teams and OneNote

  • Ability to use SAP/Ariba/Concur systems.

Nice-to-Have:

  • Undergraduate degree (BS/BA) or equivalent preferred

  • Demonstrated project management experience preferred

  • Experience supporting internship university early career or employee-related program; network with universities and early career organizations.

  • Demonstrated ability to utilize Pfizer Digital tools (including Co-Pilot OnMessage ChatBot) to improve efficiency

The salary for this position ranges from $32.47 to $54.11 per addition this position offers eligibility for overtime weekend holiday and other pay premiums depending on the work schedule and the Companys policies.
