Reports To: Olivia Ciardi Group Commercial Director FLSA Status: Salary Non-exempt Department: Commercial Business Development Summary The Sales Administrator is a proactive individual who supports our Business Development (BD) and Sales Operations teams. This pivotal role ensures the smooth execution of client renewals and sales anniversaries while providing essential administrative support across sales processes systems and partner engagement. The ideal candidate will thrive in a fast-paced SaaS environment working cross-functionally with stakeholders and maintaining a sharp focus on operational efficiency and compliance. Responsibilities and Duties Anniversary & Renewal Management - Generate anniversary quotes and documentation in Salesforce.
- Manage the end-to-end anniversary process including electronic endorsements PO follow-up and opportunity closure in Salesforce.
- Monitor and coordinate timely client renewals ensuring all necessary documents and approvals are collected and processed.
Sales & Administrative Support - Maintain accurate and up-to-date client and sales records in Salesforce and HubSpot.
- Gather information for tenders renewals and ongoing deals.
- Track sales leads opportunities and outstanding tasks ensuring timely follow-up and progression through the pipeline.
Sales Operations & Compliance - Ensure sales processes comply with internal policies pricing structures and contractual obligations.
- Support sales performance tracking and incentive calculations.
- Assist in training the sales team on CRM tools processes and compliance best practices.
- Identify and recommend operational improvements across the sales cycle.
Sales Materials & Data Management - Maintain a repository of current sales documents contracts collateral and pricing guidelines.
- Analyze past sales performance and customer trends to provide insights and recommendations.
- Prepare reports on sales metrics including pipeline forecasting and revenue realization.
Cross-functional & Partner Coordination - Act as a liaison between Sales Administration Professional Services Cloud and Finance to ensure smooth communication and execution.
- Collaborate regularly with the Contract Manager and Salesforce Administrator.
- Support sales meeting logistics proposals and partner-related activities.
- Help manage partner relationships (e.g. IBM G-Cloud Electra Learning) and facilitate collaboration.
Deal Handover & Customer Service - Coordinate the handover of closed deals to relevant internal teams for delivery and onboarding.
- Address customer inquiries and collaborate with Finance on invoicing and payment tracking to ensure high levels of client satisfaction.
Qualifications - Strong proficiency in office software; experience with Salesforce HubSpot and PSO Hub preferred.
- Demonstrated experience creating reports and presenting insights (e.g. PowerPoint).
- Prior experience supporting SaaS and Enterprise Sales processes.
- Understanding of Enterprise Asset Management (EAM) or maintenance strategies.
- Commercial experience with tenders: writing reviewing and responding.
- Proven ability to engage and communicate with senior stakeholders.
- Skilled in analyzing and assessing customer trends and performance.
