Description

JOB SUMMARY: Under the direction of the Director of Finance supports the accounts payable function and helps maintain strong internal controls and accurate financial records.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Review and verify invoices and check requests for accuracy and proper approval
  2. Enter invoices in MIP accounting system and ensure proper coding to general ledger accounts
  3. Reconcile vendor statements and resolve discrepancies in a timely manner
  4. Prepare and process electronic payments including ACH and EFTs
  5. Scan check stubs and invoices into Laserfiche software
  6. Maintain vendor records including collecting W9s and updating contact information
  7. Respond to vendor inquiries; maintain positive relationships with vendors
  8. Prepare 1099s mail to vendors and submit summary reports to the IRS
  9. Answer questions from departments regarding payments made invoices received and provide general instruction on agency invoice processing policies and procedures
  10. Assist Director of Finance with month-end close year-end close and various audits
  11. Serve as back up for claims staff assist with processing payment for claims troubleshoot suspended claims respond to provider inquiries regarding status of claims
  12. Ensure compliance with agency policies and procedures

Qualifications

EDUCATION &/or EXPERIENCE:

  1. High school diploma or GED equivalent required. Additional education preferred.
  2. Two (2) years of progressive office administration experience preferred.

PRE-SCREENING REQUIREMENTS:

  1. Requires clearance of a DOJ and FBI criminal history background check
  2. COVID-19 and Influenza (flu) vaccines preferred.

JOB SKILLS:

  1. Demonstrates strong attention to detail and numerical accuracy in reviewing matching and reconciling invoices purchase orders and payment records.
  2. Identifies and resolves discrepancies efficiently ensuring consistency across financial documents and adherence to internal controls and accounting standards.
  3. Excellent interpersonal and social interactions that demonstrate ability to work well as part of a team and contribute to effective work relationships.
  4. Ability to maintain a positive attitude and balance in relationships with others in complex interpersonal situations.
  5. Ability to work independently with minimal supervision. Good judgment resourcefulness flexibility and problem-solving skills.
  6. Ability to work in a constantly changing environment with individuals of various backgrounds and abilities.
  7. Ability to perform a variety of tasks in a timely manner. Strong organization and time management skills.
  8. Ability to complete duties within an agreed upon time frame and to remain flexible to changes in daily job tasks priorities and/or workload.
  9. Demonstrates sound verbal and written communication skills to convey information effectively.
  10. Ability to keep immediate and surrounding work area neat and organized in a manner consistent with a professional administrative environment.
  11. Ability to maintain excellent attendance and punctuality records.
  12. Proficiency in Microsoft Office including Word Excel PowerPoint Outlook and relevant computer programs and software (e.g. email internet etc.). Basic Knowledge of web-based applications such as timekeeping training and email programs.

PHYSICAL REQUIREMENTS:

  1. Ability to sit at a desk and interact with a computer screen for extended periods of time.
  2. Hand and arm strength sufficient to operate a keyboard for several hours each day.
  3. Physical abilities sufficient to move between different staff work areas communicate with co-workers and the public operate a computer produce reports talk on the telephone and travel to other agency worksites.
