Job Details and Requirement:

BASIC FUNCTION:

The Registrar/Assistant Vice President (AVP) manages the Office of the Registrar and provides oversight to the registrar office staff. The Registrar/AVP interprets and enforces academic policies; develops long-term curricular plans in consultation with the Dean of the Facultys Office and department/program chairs; carries out strategic curricular and academic initiatives both for CMC and the Consortium as directed by the Dean of Faculty and Vice President for Academic Affairs; and both develops and executes long-term plans to advance the Deans agenda within Academic Affairs. The Registrar/AVP is an independent voting member of the faculty and a member of the Senior Staff and the administrative staff. The Registrar/AVP serves as a member of various faculty and administrative committees both at CMC and across The Claremont Colleges.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

The Registrar/AVP works independently to perform the following essential duties and responsibilities:

  • Lead and supervise The Office of the Registrar and its staff members.
  • Lead the development and ongoing management of the academic calendar and a strategic 3-5 year curricular and faculty course schedule in consultation with the Dean of the Facultys Office and department/program chairs including timing of classes and long-term instructional planning.
  • Manage course scheduling logistics including room assignment and optimization of class times and locations especially in coordination with new buildings and classroom availability.
  • Monitor and adjust course offerings during the add/drop period including enrollment tracking and class cancellation decisions (in consultation with the Dean of the Facultys Office and department/program chairs).
  • Continuously assess and optimize course scheduling operations using the Student Information System (SIS) adapting to new systems and tools as implemented.
  • Oversee the dissemination of transcripts and diplomas for commencement ceremony as well as working with department/program chairs on Latin honors and the Deans List each year.
  • Conduct degree audits and certify students for graduation in coordination with department/program chairs and the Dean of the Facultys Office.
  • Oversee the collection and dissemination of the senior thesis requirement and the management and review of academic catalog annually.
  • Conduct periodic review of the general education (GE) requirements major offerings and sequences to ensure curricular relevance and alignment with institutional goals and ensure adherence to academic policies through tracking processes.
  • Support onboarding of new faculty into the academic schedule and course planning processes.
  • Manage onboarding of new students and transfer students via the SIS and advising systems.
  • Evaluate transfer credits in accordance with institutional policies and collaborate with other institutions on articulation agreements study abroad programs and credit equivalencies.
  • Present information on the GE and major requirements to faculty students staff and parents to promote understanding and engagement.
  • Oversee student advising processes ensuring alignment with curricular offerings and academic planning course selection and progression toward degree completion.
  • Manage the materials and timelines for the Academic Standards Committee for things such as academic integrity cases late withdrawal petitions grade challenges and leaves of absence.
  • Interpret and apply academic rules and regulations and enforce academic policies and procedures.
  • Maintain institutional compliance with FERPA with strict adherence to the highest standards of confidentiality.
  • Supervise records management for all student academic records and guarantee data integrity for all student academic information at CMC.
  • Serve as a voting member of the Academic Standards Committee Curriculum Committee Global Education Committee Enrollment Management and Planning Committee the Executive Committee of the SIS and other assigned committees both at CMC and within the consortium.
  • Work closely with Information Technology and Systems to ensure integrity of various information systems related to academic records. Implement new systems and wherever possible create efficiencies in existing systems.
  • Collaborate with the Office of Institutional Research on enrollment management review of student records and analysis of patterns and trends with regards to students majors and courses.
  • Collaborate with Student Accounts and Office of Financial Aid on student status academic progress and withdrawals/leaves.
  • Administer short- and long-term qualitative and quantitative research projects related to academic effectiveness.
  • Prepare analyze and present various audience-appropriate reports including reports for the CMC Board of Trustees and its committees.
  • Support and collaborate with the Office of Institutional Research on longitudinal study of enrollment trends demographics and academic effectiveness.
  • Monitor trends in higher education that impact academic policy curricular planning and regulatory compliance requirements.
  • Support strategic planning.
  • Perform other essential duties and tasks specific to this position as assigned by the Vice President for Academic Affairs and Dean of the Faculty.

QUALIFICATION STANDARDS & SKILLS:

EDUCATION: A Masters Degree preferably in the social sciences with a background in qualitative and quantitative research or equivalent education and experience.

EXPERIENCE: This position requires ten or more years of related experience in a leadership capacity within a liberal arts college environment. Preference will be given to applicants with previous experience as a Registrar

REQUIRED KNOWLEDGE SKILLS and ABILITIES: Individual must possess knowledge skills and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed with or without reasonable accommodation using some other combination of knowledge skills and abilities.

  • Individuals must be able to attend to all above duties train staff or explain or demonstrate how the essential functions will be performed with or without reasonable accommodation.
  • The incumbent must possess excellent verbal and written communication skills as well as advanced computer skills especially with relational databases and standard desktop software applications.
  • The successful candidate must exhibit unquestionable professional and personal integrity and the ability to work both collaboratively and independently with minimal supervision.
  • At least ten years of successful supervisory experience is required.

REQUIRED HOURS: The regular hours for this fulltime position are 8:00 a.m. to 5:00 p.m. Monday through Friday. Regular hours may vary due to needs of the College or department.

PHYSICAL REQUIREMENTS: Light (up to 20 lbs.)

SALARY RANGE: The anticipated salary range is $175000 - $190000 per year. Salary will be commensurate with qualifications and experience.

SUPERVISORY RESPONSIBILITY: The Registrar/AVP supervises the Office of the Registrar. Direct reports include two Associate Registrars and one Assistant Registrar.

REPORTS TO: This position reports to the Vice President for Academic Affairs and Dean of Faculty is an independent voting member of the faculty and is a member of the senior staff and the administrative staff.

GROOMING AND APPEARANCE: Employees are expected to wear attire that is appropriate to the office or department in which they work.

BACKGROUND CHECK: The successful candidate will be required to undergo a full consumer background check.
