The Project of the Port of Elizabeth
APM Terminals and the Port of New York and New Jersey recently reached an agreement on the lease extension for APM Terminals Elizabeth through 2062. This extension paves the way for major infrastructure investments which will enhance capacity and transport velocity create jobs and strengthen the economy.
APM Terminals will invest significantly in Port Elizabeth over the coming years to decarbonize its operations and enhance cargo-handling capacity at its 345-acre terminal. APM Terminals has also committed to the replacement and maintenance of all wharf and berth structures. This investment supports the Port Authoritys Port Master Plan 2050 which anticipates cargo volumes doubling or tripling by mid-century.
Looking to the future APM Terminals Elizabeth envisions a larger more efficient container terminal. Planned upgrades include the optimization of the terminal layout electrification of container handling equipment and future-proofing container light of this development APM Terminals Elizabeth is expecting to receive the sub-award of a Clean Ports Program Grant to partially fund these developments. This sub-award needs to be actively managed and sustained for compliance and project success.

Role Overview:
The objective of this role is to assist the Project Controls Manager and project team to deliver the project by providing project document management & control services. This includes all documentation types and formats related to the project delivery.
Key Accountabilities and Responsibilities:
Document Control & Management:
Lead with the Project Controls Dept the preparation of a project specific Document Management Plan following the APMT Standard Guidance documents.
Copy scan and file documents in physical (when ) and electronic document management system (EDMS i.e. PMWeb ACONEX etc);
Be a PMWeb & ACONEX superuser & document control owner;
Check documentation and correspondence ready for issue for accuracy in the process and numbering and edit document when/if ;
Review and update relavant documents related to the as (e.g. document control management plan and workflows)
Create project specific templates for use where beneficial;
Retrieve files as requested by team
Manage the flow of documentation within the organization
Maintain confidentiality around sensitive information and terms of agreements and contracts
Prepare ad-hoc reports on projects as needed
Implement and maintain document control procedures in accordance with project requirements.
Review documents for accuracy completeness and compliance with naming conventions and version control.
Maintain up-to-date records & generate regular reports on document status outstanding reviews and overdue submissions
Coordinate with project managers engineers consultants and subcontractors to ensure timely submission and approval of documents.
Act as the point of contact for document control queries and provide training/support to project team members on EDMS platforms.
Assist in the setup of project folders templates and metadata fields to align with project requirements.
Contractual Correspondence
Prepare ad-hoc or regular reports on project documentation workflow status as needed in a clear and presentable format.
SharePoint
Manage and maintain user access control to multi-user platforms
Maintain folder structure and integrity within SharePoint site supporting project teams understanding of the correct location for document type.
Support on the translation of key project deliverables. Liaise closely with the project team to organise and coordinate. Translations may be undertaken internally by the team Team Assistant or by external translation services.
Prepare records such as agenda notices minutes and resolutions of meetings.
Business & Office Administration
Provide administrative assistance when to the projects senior managers coordinate meetings facilities minutes. Visitors coordination and front-of-house correspondence travel visas and other types of activities.
Critical Qualifications/Skills/Experience:
Experience:
Minimum of 7 years of document control / management or similar work experience.
Experience of working on a large-scale infrastructure /civil and construction project under FIDIC contract is preferable.
Systems Knowledge:
Microsoft Office suite Office 365 including MS Teams & SharePoint
Knowledge of EDMS and project management systems knowledge of PMWeb & ACONEX being a plus
Various software platforms relevant to the role for example: enterprise resource planning (ERP e.g. IFS Work Day) expenses or travel planning video and tele conferencing etc.
Familiarity with BIM (Building Information Modelling) and integration of document control with design platforms is a plus.

Excellent language skills in English both written and verbally.

Benefits:
Full time employees are eligible for Health Insurance Paid Time Off and 401k Match.
The above stated pay range is the anticipated starting salary range for this position. The Company may adjust this range in light of prevailing market conditions and other factors such as Company will work directly with the selected candidate(s) on the final starting salary in accordance with all applicable laws.
