Range Explanation:

  • Hiring Range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors including your skills qualifications experience education licenses training and internal equity.

  • Pay Range is the entire compensation range for the position.

The Intake Supervisor Sheriffs Department supervises and participates in the activities of a specialized work-unit within the Pima County Adult Detention Complex overseeing and conducting initial intake processing maintaining inmate custody records reconciling inmate accounts processing bond transactions and coordinating unit activities with local state and federal law enforcement and judicial agencies to process interpret and act upon court orders and directives.

Essential Functions:

As defined under the Americans with Disabilities Act this classification may include any of the following tasks knowledge skills and other characteristics. This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbents of this class. Work assignments may vary depending on the departments need and will be communicated to the applicant or incumbent by the supervisor.

  • Supervises and coordinates intake records and inmate account operations to ensure accurate and timely processing of court orders custody records and financial transactions in compliance with applicable laws and regulations;

  • Trains assigns and monitors staff across multiple units on an assigned shift ensuring consistent workflow operational efficiency and adherence to established procedures;

  • Evaluates employee performance recommends hiring retention training or disciplinary actions and implements progressive discipline when necessary;

  • Interprets complex court documents and jurisdictional issues to determine appropriate compliance actions and authorizes the physical release of inmates;

  • Reviews and authorizes legal and financial documents including victim notifications bond transactions release orders and inmate account reconciliations;

  • Coordinates with local state and federal law enforcement and judicial agencies to facilitate inmate processing information exchange and resolution of jurisdictional issues;

  • Ensures the secure handling and confidentiality of inmate records legal documents and financial transactions including bank deposits and inmate trust accounts;

  • Develops implements and evaluates unit-specific procedures operational guidelines and staff training programs to improve performance and compliance;

  • Controls facility access by verifying identification monitoring entry and exit points and ensuring weapons are secured before entry by law enforcement personnel;

  • Conducts periodic audits of computerized records to ensure data accuracy and compliance with regulatory mandates and prepares and submits related reports;

  • Responds to inquiries from law enforcement court personnel and the public regarding inmate status procedures and documentation;

  • Testifies in court on official matters and supervises the research of inmate housing records and charges for law enforcement or contracted municipalities.

Minimum Qualifications:

Four years of experience in the criminal justice field AND one year of lead or supervisory experience. (Lead/supervisory experience may be concurrent with the above-mentioned experience.)

(Relevant experience and/or education from an accredited college or university may be substituted.)

OR:

Two years of experience in a Pima County Intake Support Specialist position.

Selection Procedure:

Pima County Human Resources Department reserves the right to admit to the selection process only those candidates that meet the minimum qualifications. All applications will be assessed based on an evaluation of the listed education and experience. Candidates meeting the minimum qualifications may be further evaluated/scored against any advertised Preferred Qualifications. The hiring authority will interview and select the successful candidate from a referral list provided by Human Resources. Additional assessments/testing may be required as part of the selection process.

Supplemental Information:

License and Certificates: Valid driver license is required at time of application. ValidAZdriver license is required at time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicants suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Within 30 days of appointment employees must attain access certification for all criminal history databases/communications systems required of assigned position (e.g. NCIC ACIC Spillman Summit etc.).

Special Notice Items: The County requires pre-employment background checks. Successful candidates will receive a post-offer pre-employment background screening to include verification of work history education and criminal conviction history. A prior criminal conviction will not automatically disqualify a candidate from employment with the County. All positions require satisfactory completion of a personal background investigation by the court or law enforcement agencies due to the need for access to law enforcement facilities property communication systems and associated confidential and sensitive information documents databases and evidentiary materials. Pre-/post-appointment drug screening and polygraph examinations are required of all positions in this classification due to need for the above accesses.

Physical/Sensory Work Requirements: Some positions within this classification may require the ability to react to physical confrontations and emergency situations quickly and effectively work in confined spaces for prolonged periods of time and hear and understand speech and radio transmissions. Other physical and sensory abilities will be determined by position.
