Job Description

Department:Central Office

Report to:Director ofHuman Resources

Hours:7:30-4:00pm

The Secretary to the Director of Human Resources provides confidential administrative and clerical support to ensure the efficient operation of the Human Resources Department. This position is responsible for maintaining personnel records assisting with onboarding and offboarding processes supporting labor relations documentation preparing reports and facilitating daily communications with staff applicants and other stakeholders.

Essential Duties and Responsibilities:

  • Serve as the primary administrative support to the Director of Human Resources.

  • Maintain accurate and up-to-date personnel records including employee files certifications evaluations and leave documentation.

  • Prepare and process employment paperwork for new hires transfers resignations and retirements.

  • Assist with scheduling interviews preparing candidate packets and facilitating communication during the hiring process.

  • Monitor employee certifications and credentials to ensure compliance with state and federal requirements.

  • Provide support for labor relations including maintaining documentation related to contracts grievances and negotiations.

  • Process and track employee leave requests including FMLA medical leave and other absences.

  • Respond to general HR inquiries and direct more complex matters to the Director of Human Resources.

  • Assist in maintaining confidentiality and security of all HR-related information and documentation.

  • Prepare and distribute internal communications meeting agendas memos and reports as directed.

  • Coordinate logistics for HR-related trainings orientations and staff events.

  • Support district-wide HR projects and initiatives including audits compliance reporting and professional development programs.

  • Perform other duties as assigned by the Director of Human Resources.

Required Qualifications:

  • High school diploma or equivalent required; Associates degree or additional training in office administration or human resources preferred.

  • Minimum of three (3) years of experience in an administrative or secretarial role preferably in a school district or human resources setting.

  • Strong written and verbal communication skills.

  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

  • Proficient in Microsoft Office (Word Excel Outlook PowerPoint) and comfortable learning new software systems (e.g. Frontline PowerSchool or other HRIS platforms).

  • Exceptional organizational and time management skills with the ability to manage multiple priorities and meet deadlines.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Strong interpersonal skills and a commitment to customer service.

Preferred Qualifications:

  • Experience working in a K-12 public school district or educational setting.

  • Familiarity with Michigan school personnel policies state certification requirements and collective bargaining agreements.

Working Conditions:

  • Primarily office-based with frequent use of computers and standard office equipment.

  • Regular contact with employees administrators and the public.

  • Occasional lifting of materials and supplies up to 25 pounds.
