THE ORGANIZATION

The San Francisco Symphony is among the most adventurous and innovative arts institutions in the United States celebrated for its artistic excellence creative performance concepts award-winning recordings and standard-setting education and community engagement programs. Since it was established in 1911 the Symphony has grown in acclaim under a succession of distinguished music directors: Henry Hadley Alfred Hertz Basil Cameron Issay Dobrowen Pierre Monteux Enrique Jord Josef Krips Seiji Ozawa Edo de Waart Herbert Blomstedt Michael Tilson Thomas and Esa-Pekka Salonen.

The San Francisco Symphony presents more than 200 concerts and presentations annually for an audience of nearly 350000 in its home of Davies Symphony Hall and around the Bay Area. A cornerstone of its mission the San Francisco Symphony provides some of the most extensive education and community programs offered by any American orchestra. The Symphonys free music education experiences engage students in grades 112 throughout the San Francisco Unified School District (SFUSD) serving more than 25000 students annually.

In 2001 the SF Symphony became the first American orchestra to launch its own in-house record label SFS Media. Recorded live in concert and engineered at Davies Symphony Hall SFS Media recordings showcase music by contemporary composers as well as core classical masterworks. San Francisco Symphony radio broadcasts the first in the nation to feature symphonic music when they began in 1926 today carry the Orchestras concerts across the 2004 the SF Symphony launched the groundbreaking multimedia Keeping Score series on PBS-TV and the web; the series was made available for unlimited free streaming on the Symphonys YouTube channel in 2020. In 2014 the San Francisco Symphony inaugurated SoundBox an experimental and eclectic live music series which takes place in an alternative performance space located backstage at Davies Symphony Hall. In 2023 the San Francisco Symphony partnered with Apple for the launch of a new classical music streaming app Apple Music Classical and has since released 15 spatial audio recordings of live concert performances through the app. For its adventurous programming the Symphony has been honored 19 times by the American Society of Composers Authors and Publishers and the Symphonys recordings have garnered Frances Grand Prix du Disque and Britains Gramophone Award as well as 17 Grammy Awards.

JOB SUMMARY

The Operations Coordinator reports to the Director of Venue Operations to support the Symphonys day-to-day administrative scheduling and workplace operations. The Operations Coordinator is responsible for assisting with the management of the Symphonys master scheduling procedures as well as office and workplace services.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Administrative Support

  • Assists the Director of Venue Operations with booking and scheduling operations for the entire organization.
  • Assists with the tracking forecasting and processing of rent payments and schedule submissions in accordance with the Symphonys agreement with the SF War Memorial and Performing Arts Center.
  • Manages the annual Orchestra calendar process including program and schedule data entry proofing printing and distribution.
  • Monitors tracks and reports on Venue Operations department expenditures.
  • Participates in regular Front of House walkthroughs with the Director of Venue Operations and Facilities Manager tracking and addressing all facilities issues in the Davies Symphony Hall public assembly areas.

Office and Workplace Services

  • Responsible for mailroom operations including processing incoming and outgoing mail tracking postage managing large deliveries and maintaining inventory of mailroom supplies.
  • Manages inventory of office supplies and workspace equipment.
  • Assists Facilities Manager with e-waste and junk pickup as well as offsite storage services.
  • Assists with the management of Amazon and other e-commerce business accounts.
  • Ensures all copy machines are serviced and functional through external vendors.
  • Ensures kitchen custodial and drinking water supplies are tracked and stocked.
  • Manages office supply inventory ensuring all spaces are stocked throughout the building and refill orders are tracked and placed as needed.
  • Responsible for the appearance and upkeep of all shared and multiuse spaces including the Staff Lounge Kitchen Wattis Room and Green Room.
  • Assists Facilities Manager with vital records storage and destruction.
  • Monitors security access lists and assist with ID badge distribution.
  • Assists the Facilities Manager with loading dock operations including incoming/outgoing deliveries communication with vendors and movement of deliveries from the loading dock throughout the building.
  • Assists other departments with storage needs throughout the building.

Qualifications

QUALIFICATIONS

  • One or more years of experience in a performing arts environment or relevant experience strongly preferred.
  • Demonstrated proficiency with Microsoft Office Suite and Windows environments including effective troubleshooting skills.
  • Familiarity with standard building and facilities equipment is highly preferred.
  • Knowledge of budgeting and administrative tasks such as scheduling record-keeping and data entry.
  • Ability to prioritize and multitask in a busy department is required.
  • Punctuality is a must as this position requires on-site activity during normal business hours.
  • Occasional lifting of up to 50 lbs. required.
  • Standing for prolonged periods of time may be required.

  • Director of Venue Operations and Facilities Manager
  • Artistic Operations Department (Artistic Planning Venue Operations Production and Orchestra Personnel teams)
  • All SFS administrative departments
