The Deans Office Assistant is the face of the College for those who are seeking to interact with the Dean Assistant Dean Director of Platteville Distance Engineering and the College of EMS Business Manager. This individual will work with professional staff faculty students donors local business owners visitors and other Universities of Wisconsin representatives.
The Deans Office Assistant must have strong technical aptitude with the ability to learn new systems quickly and troubleshoot minor technical problems. Additionally the Deans Office Assistant must possess strong interpersonal skills and a polished demeanor suitable for client-facing or executive-level interactions. This role begins at $19.00 per hour and is commensurate with experience.
Provide primary administrative support to the Dean and Deans Office personnel.
Manage telephone communications is a gatekeeper for visitors and appointments troubleshoots and resolves problems and questions escalates complex matters.
Day-to-day management of supplies equipment and facilities to include maintenance inventory management room reservations and related activities.
Maintain Deans calendar as well as organize and facilitate meetings and appointments.
Compose and format written materials and official correspondence for the office; screen evaluate and respond to incoming and outgoing communications as needed.
Assist with event planning college meetings and executive council meetings which includes coordination of dates times venues attendance agendas and catering.
Assist with content development for college communications and publications including meeting presentations social media newsletters annual report GEODE digital screens etc.
Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations.
Assist with travel arrangements and expense reports.
Other duties as assigned.
What Youll Need to Succeed:
High school diploma
Five years of administrative experience or post-secondary degree
Proficiency in Microsoft Outlook including calendar and meeting management
Proficiency in Microsoft Excel including the ability to manipulate and analyze data using functions formulas sorting and filtering and basic data visualization tools (e.g. charts and graphs)
Demonstrated ability to learn new digital tools and platforms independently and apply them effectively to support work tasks and projects
Strong organization skills and attention to detail
Excellent customer service and verbal and written communication skills
Ability to work independently
