Job Title: Administrative Assistant II
Location:
Fully Onsite No Remote Option
Schedule: Monday Friday 8:00 AM 4:30 PM (30-minute lunch)
Assignment Type: Temporary FMLA Coverage
Target Start Date: September 1 2025

Position Summary:

We are seeking a dependable and highly organized Administrative Assistant II to serve as the face of our building welcoming visitors and providing critical support across various departments. This fully onsite position plays a key role in creating a professional and efficient office environment during a maternity leave coverage period.

Key Responsibilities:

  • Serve as the first point of contact for visitors and staff providing a friendly and professional presence.
  • Perform general administrative duties including:
    • Answering and directing phone calls
    • Sorting and distributing mail
    • Filing and maintaining records
    • Typing correspondence and reports
    • Scheduling appointments and reserving meeting rooms
  • Create and distribute internal reports maintain department documentation and draft professional correspondence.
  • Act as a liaison for internal and external communications across departments.

Qualifications & Skills:

  • Proven ability to manage multiple tasks and interact effectively with diverse personalities.
  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • High level of organizational skills and attention to detail.
  • Ability to quickly and efficiently resolve administrative issues.
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Ability to maintain confidentiality and represent the organization with a professional image.
  • Experience implementing or following audit-compliant administrative processes is preferred.
