Job Title: Facility Use Specialist Tier 1
Minimum Qualifications
- High School Diploma or equivalent; and
- 3-5 years related experience.
Preferred
- Associates degree or two years of college-level classes;
- Strong skills in Microsoft Office Excel Access Word and PowerPoint;
- Effective communication skills both verbal and written;
- Flexibility and organization; and
- Ability to sustain high work standards and high levels of competency in all related office skills.
Essential Job Responsibilities
- Must respect and safeguard sensitive confidential or privileged information;
- Utilize knowledge of and experience with office procedures to manage information;
- Perform specific job functions with continual supervision and oversight from supervisor(s);
- Complete routine department tasks as assigned by department supervisor(s);
- Manage and maintain the facility use scheduling system Master Library Schedules (MLS);
- Communicate facility use policies fees and insurance requirements to applicants;
- Coordinate with District custodial maintenance and security teams for even support needs;
- Prepare facility use agreements and issue invoices for applicable fees;
- Maintain organized records of facility use agreements insurance documents and payment receipts;
- Process and pay vendors for services provided for FUA events;
- Process and submit timesheets to payroll for FUA support staff;
- Prepare reports utilizing various software programs for the supervising Director/Executive Director;
- Develop or assist in developing filing systems & manages and maintains filing systems;
- Comply with administrative directives and regulations school board policies and local state and federal regulations;
- Seek answers to and answer questions that arise within area(s) of assignment from department supervisor(s);
- Maintain professional relationships and work cooperatively with employees school and district administrators the community and other professionals;
- Maintain professional competence through individual and district training in-service educational activities and appropriate professional growth activities;
- Meet deadlines and work on multiple projects;
- Attend staff meetings and training with reference to specific job responsibilities;
- Cross-train to assist and relieve when needed other assigned areas of responsibility;
- Occasional evening or weekend availability may be required to support events;
- Take responsibility to oversee under direct supervision all aspects of the specific specialist assignment(s);
- Complies with state-approved New Mexico Administrative Code of Ethical Responsibility of the Education Profession and the RRPS Employee Standards of Conduct and upholds and enforces rules administrative directives and regulations school board policies and local state and federal regulations; and
- Employee may be assigned other duties based on the needs of the district during the term of employment.
