Job Description

Job Summary/Basic Function:

The Program Instructional Analyst serves as a member of the Extended Studies Finance and Employee Experience team to develop coordinate and execute the instructional contract process for Summer Session and Online Degree Pathway. This position pulls and maintains data associated with instructional contracts. They are responsible for ensuring data integrity validating accuracy of data printing contracts that contain financial data routing contracts for signature and coordinating the delivery of instructor payments to human resources. This person will also be responsible for managing and improving this business operations process and coordinating with areas outside of Extended Studies to gather the correct data sources (such as human resources the BIRS team etc.). Takes on special projects and coordinates completion.

This position is not eligible for VISA Sponsorship.

At this time this position is not eligible for remote/hybrid work schedule.

The Finance and Employee Experience team provides strategic financial guidance ensures robust internal controls and drives continuous improvement in business processes. Simultaneously we are committed to enhancing employee engagement through effective communication collaborative support and the cultivation of a welcoming and productive workplace culture.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills policies and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

Oversee and collaboratively lead the instructional contracts process for Summer Session and Fall/Spring Extended Studies programs.

  • Utilize existing queries to extract data from the system and compile information into a centralized working master file
  • Review analyze and critically assess any changes in data between two points in time.
  • Maintain official Letter of Appointment (LOA) spreadsheet and work with appropriate directors to prepare instructor payments via a contract or entry directly into the appropriate area for processing.
    • This is a multi-step process that includes comparing evaluating and updating class and instructor personnel data twice per week in the master spreadsheet.
    • Print necessary contracts upload and electronically route contracts for signature.
  • Collaborate with Human Resources to communicate instructor payments.
  • Troubleshoot resolve discrepancies and respond to inquiries regarding contract terms and conditions.
  • Coordinate fall and spring instructional costs for the Online Degree Pathway program and prepare any associated transfer of funds.

Troubleshoot existing reports on instructional course/cost data or develop new reports that provide projected class costs to assist stakeholders with decision making.

Continuously improve contract workflows and suggest process enhancements to increase efficiency and accuracy.

Handles sensitive and/or confidential information with discretion.

Coordinate the development and distribution of financial contracts that outline roles responsibilities and funding model details for alternatively funded programs. This includes initiating new contracts issuing amendments and/or renewals.

Work with supervisor to develop a personal professional development plan with annual goals to accomplish the plan. Actively pursue excellence effectiveness and efficiency.

Perform other duties as assigned.

Demonstrated experience working with downloads of data via Excel or other data management tools up to and including: managing data integrity maintaining an official data file and analyzing and interpreting changes in the data.
Advanced skill level using MS Excel and MS Word.
Work effectively both independently and cooperatively as a member of a team.
Exhibit a strong desire to thrive engage and work effectively in a dynamic highly collaborative results-driven and interactive environment.
Remain flexible in adapting to a fast-changing environment to meet the needs of Extended Studies and the priorities of the university.
Demonstrated ability to complete and balance multiple work projects respond with adaptability to rapidly changing priorities and work well under pressure.
Proven work performance that is reliable dedicated productive and exhibits strong self-initiative.

MinimumQualifications:

Bachelors Degree and 2 years of professional experience or equivalent relevant experience.

Preferred Qualifications:

Bachelors Degree and 3 years of professional experience or relevant experience in business or data analysis.
