Job Summary

The Volume Licensing (VL) Contracts and Solutions Associate operates through a call center case system and email structure and acts as a second-level resource for Sales and Sales Support organizations. Primary duties include creation and submittal of entry level customer-specific contracts providing volume licensing program guidance information and value-added solutions. Handles entry level purchasing activities based on the customer vendor contracts/agreements and program rules for an assigned business segment. Licensing and contract support effort includes a reactive focus on customer- specific opportunities while a proactive focus is applied to developing and maintaining resources reports and training for supported teams. The VL Contracts and Solutions Associate maintains personal knowledge of vendor programs and contract procedures in order to make educated decisions that ensure licensing meets both vendor program and company audit compliance. The VL Contracts and Solutions Associate uses knowledge and experience to develop internal processes and documentation which limits liability to both the customer and Connection in terms of revenue loss inability to sell vendor programs and associated fines.

Responsibilities

Primary Job Duties:

  • Responds timely to all customer requests for contract creation for entry level contract creation and providing volume licensing program guidance.
  • Audits and submits vendor contracts to fulfill customer obligations.
  • Processes requests for updates to contracts including changes to channel partner zero usage statements and contact information.
  • Resolves issues and provides post-sales contract and licensing support.
  • Spends time training to become knowledgeable on entry level licensing programs in order to answer customer questions.
  • Assists with VL Contracts and Solutions Coordinator related work including updates in the VLP database.
  • Audits purchase orders for compliance to vendor program specifications and internal controls.
  • Ensures that internal controls are followed by validating customer eligibility to vendor program and pricing requirements for compliance purposes.
  • Researches and resolves any processing issues with associated vendor.
  • Assists with price lists maintenance.
  • Participates in and contributes to team goals.
  • Assists in developing training and resources for supported teams.
  • Increases personal knowledge of vendor programs and contract procedures.
  • Attends both internal and external trainings and webinars to identify vendor program and product changes.
  • Builds relationships with Connection Sales and Support Teams.

Qualifications

Required competencies:

  • Intermediate Microsoft Excel skills with ability to create formulas tables and charts.
  • Proficient in Microsoft Outlook with ability to formulate and send professional emails.
  • Working knowledge of customer relationship management systems or an ERP system.
  • Working knowledge with databases in order to audit and update information.
  • Working knowledge of volume licensing programs and contracts with ability to process entry level contracts.
  • Routine problem solver in situations where most problems have occurred before and solutions are familiar.
  • Basic to intermediate understanding of sales or product procurement operations with ability to follow and improve processes within a vendor segment while maintaining set controls.
  • Attention to detail in composing keying and proofing professional business materials.
  • Discreet with demonstrated ability to work in a confidential executive environment using good judgment while acting as an ambassador for the company.
  • Process change agent with ability to identify process improvements and system enhancements in a changing environment.
  • Intermediate reasoning skills with ability to follow established processes and controls.
  • Detail oriented with item by item focus meticulous attention to detail with ability to proofread for accuracy.
  • Excellent customer service skills with the ability to prioritize and multitask in a fast-paced environment.
