Job Description

Client: Alberta Health Services (AHS)
Location: Telus Plaza North Tower 10025 Jasper Ave. NW Edmonton AB
Work Arrangement: Hybrid (primarily remote; occasional in-office attendance required)
Work Hours: Monday to Friday 8:15 AM 4:30 PM (1-hour lunch break) Alberta time Role Overview:

Reporting to the Manager of Operations Support in the Procurement and Systems Optimization Secretariat (PSOS) the Contract and Procurement Administrator plays a key role in managing contract documentation and system access across Alberta Health Services. The role includes processing vendor contracts ensuring compliance with policies and trade agreements maintaining accurate records in the Contract Lifecycle Management (CLM) system and supporting procurement systems such as Oracle Grand & Toy and Amazon accounts. The position also provides training and administrative support across AHS departments.

Key Responsibilities:
  • Facilitate contract signature processes and documentation exchange with vendors and stakeholders.

  • Maintain accurate contract records within the CLM system.

  • Ensure compliance with Canadian trade agreements and AHS policies including audit and FOIP request support.

  • Provide training and guidance on records management practices and information governance.

  • Manage system user access and corporate account maintenance (e.g. Oracle Amazon Grand & Toy).

  • Review and triage contract-related requests from AHS Contracting department.

  • Provide administrative support to Contract Coordinators (documentation reporting filing tracking).

  • Respond to calls and emails act as a stakeholder contact point and create supporting documents as needed.

  • Support online platform access and external customer account setups.

  • Track records and maintain Excel-based documentation.

  • Proof and format system access documentation.

Mandatory Requirements:
  • Education: High School Diploma or GED.

  • Work Experience:

    • Minimum 3 years using Microsoft Office Suite tools.

    • Minimum 2 years in a similar administrative/procurement/contracts role.

Preferred Qualifications (Nice to Have):
  • Education:

    • Post-secondary education in Supply Chain Procurement Business or Office Administration.

  • Work Experience:

    • 1 year experience coordinating contract documents.

    • 1 year experience with MS 365 SharePoint Online (admin portal reporting configuration).

    • 1 year experience navigating and updating Oracle 12.1.2.
