PRIMARY PURPOSE:

Provide a wide range of clerical tasks regarding compensation ensuring the accuracy of the compensation received by each employee and providing courteous assistance to Child Nutrition in the application and onboarding process absenteeism and other personnel related matters.

QUALIFICATIONS:

Minimum Education/Certification:

High school diploma or equivalent

Associates degree from accredited college or university- preferred

Special Knowledge/Skills:

Proficient skills in typing word processing and file maintenance

Accurate typing and ten-key skills familiarity with computer applications such as spreadsheets

and word processing

Effective communication public relations organizational and interpersonal skills

Proficient in computational math skills

Knowledge of Workers Compensation FML

Ability to analyze employee needs by telephone

Ability to conceptualize reports and procedures

Maintain accurate and auditable records

Work Conditions:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting and standing; bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions including keyboarding; reaching

Lifting: Lifting and carrying (40 pounds)

Environment: Must be able to work with frequent interruptions and maintain professional demeanor under stress; must have problem-solving skills; occasional prolonged hours and irregular hours

Travel: Infrequent district-wide travel

Regular attendance is an essential function

Minimum Experience:

Three or more years of PeopleSoft experience preferably Human Resources and/or

Payroll- preferred

Three or more years in school system bookkeeping or five years experience in general

clerical/bookkeeping responsibilities

Experience in a public education environment is preferred

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Enter all new employee data in the personnel management system including position salary funding employee demographics leave balances.
  2. Monitor and makes approved changes for all current employees in the personnel management system including position salary funding and employee demographics.
  3. Supervise and process bi-weekly payroll for all Child Nutrition employees including Summer Feeding Program.
  4. Calculate pay-off for resigning employees.
  5. Collect retain and verify Service Records from other districts previous work history and other required documents related to employment.
  6. Scan and verify documents in districts Laserfiche system.
  7. Maintain digital files in the districts personnel management systems.
  8. Complete Verification of Employment from outside sources.
  9. Establish and maintain personnel files for Child Nutrition employees.
  10. Assist with the reviewing employment applications interviewing and hiring personnelfor the Child Nutrition Department.
  11. Assistwith reporting on the job injuries for Child Nutrition employees and assisting the Districts Clerk as neededand maintenanceof records.
  12. Ensure that AISD policies are applied to Child Nutrition personnel consistently.
  13. Coordinate and monitor modified-duty situations as needed.
  14. Administer FML for child nutrition employees and maintain records.
  15. Assist with filing employers response to unemployment benefits claims.
  16. Process check requisitions for various types of reimbursements.
  17. Document employee conferences with Director and Assistant Director.
  18. Act as back-up person for maintenance requests and equipment repair calls.
  19. Act as back-up person for substitute calling.
  20. Develop and update forms as needed for use in payroll and personnel operations.
  21. Complete Service Records as needed for resigning/retiring employees.
  22. Maintain confidentiality of information.
  23. Follow district safety protocols and emergency procedures.
  24. Comply with state district and school regulations and policies for classroom teachers including the Texas Educator Code of Ethics
  25. Perform such other tasks and accepts such other responsibilities as may be assigned.
