Description

Client Services Delivery is the main operational delivery division within Social Security Scotland. Our teams deliver a wide range of benefits and services to those most in need across Scotland. This includes people on low incomes disabled people carers young people entering the workplace and to help people heat their homes. The Business Support Team delivers high quality support to the divisional Senior Management Team and operational support to the wider division.

As a Business Support Officer you will play a critical role in supporting Senior Leaders including Deputy Directors Heads of Client Services and Head of Operations across the division. This is a high profile varied and fast paced role suitable for a confident individual who can be adaptable flexible enthusiastic and able to work independently to deadlines and cope with challenging and numerous demands.

This role requires excellent communication skills and an understanding of Microsoft packages to manage your varied workload.



Responsibilities

Responsibilities
The successful candidate will be part of the business support team within Client Services Delivery.

The main duties are:

Supporting Senior Leaders in delivery of their work through the strategic management of:

1. Diary- scheduling and organising meetings appointments and events. Coordinating with relevant parties within and out with the division and Agency to ensure availability and travel arrangements.
2. Mailbox- managing prioritising and responding to enquiries & ad-hoc tasks promptly maintaining professionalism and confidentiality.

Prioritising tasks and deadlines ensuring the most efficient use of time.
Completing administrative tasks and providing secretariat support for meetings.
Gathering information for briefings correspondence engagements and ensure accurate maintenance of records.
Confidently communicating and interacting with Senior Leaders and wider stakeholders.
Maintain utmost confidentiality regarding sensitive information and privileged communication.

Proven experience of working in a team that supports the diverse needs of multiple stakeholders to achieve wider strategic objectives.

Working Pattern
Our standard hours are 35 hours per week and we offer a range of flexible working options depending on the needs of the role. We embrace a hybrid working style where all colleagues will spend time in one of our Social Security Scotland offices. There is an expectation of a minimum 2 days per week in your assigned location which will be Agnes Husband House Dundee for this position.
