About the Role

As an Associate in our Customer Success department you will play a vital role in ensuring smooth and efficient administrative operations that support our technology solutions clients. This position is responsible for managing the end-to-end processing new deal paperwork service contract setup leasing administration billing and accounts receivable (AR). You will work closely with internal teams and external partners to ensure accuracy timeliness and exceptional customer service. This is a detail-oriented role that requires strong organizational skills a proactive mindset and a commitment to operational excellence.

Key responsibilities include:

  • Process equipment orders accurately and in a timely manner coordinating with sales and logistics teams.
  • Set up and maintain service contracts in the system ensuring correct terms and billing schedules.
  • Administer leasing documentation and coordinate with leasing partners to ensure proper execution and funding.
  • Generate and send customer invoices for equipment service and lease-related charges.
  • Monitor accounts receivable follow up on outstanding balances and support collections efforts.
  • Maintain accurate customer records and documentation in CRM and ERP systems.
  • Collaborate with other Customer Success colleagues to resolve customer inquiries and support new client onboarding.
  • Identify and escalate process inefficiencies or system issues to improve workflow.
  • Complete other Customer Success tasks like responding to inbound client inquiries and processing transactions in our system as required.

90-day success expectations include:

  • Complete onboarding and training on Aztecs systems processes and product offerings.
  • Demonstrate comfort in processing new sales orders through Salesforce and E-Automate
  • Achieve proficiency in creating reviewing and updating contract and lease records in E-Automate
  • Demonstrate proficiency in leasing administration and billing workflows.
  • Establish effective working relationships with internal teams and external partners.
  • Maintain AR aging within acceptable thresholds for assigned accounts.

Qualifications

Job Requirements

  • 2 years of administrative or operations experience preferably in a B2B services company
  • Strong understanding of order processing billing and AR principles.
  • Experience with CRM and ERP systems (e.g. Salesforce eAutomate or similar platforms).
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite especially Excel and Outlook.
  • High school diploma or equivalent required; associate degree or higher preferred.
  • Must be able to read write and speak English clearly.
  • Ability and willingness to work onsite five days per week at our Middletown CT offices
  • Hours are 8 am to 5 pm EST Monday through Friday
