DEPARTMENT SUMMARY: The People & Culture (P&C) Department focuses on the employee experience at the Center. We are a Mission-driven group of colleagues who develop strategies for growth and engagement of Center Staff through an inclusive culture where we can all bring our authentic selves to work. P&C fosters employee and labor relations through the Centers approach to onboarding diverse talent promoting well-being with our robust package of benefits and staying true to our core values through culturally competent training. JOB SUMMARY: The People & Culture (P&C) Administrator provides essential administrative and operational support to the P&C department in a unionized public-sector environment. This role serves as the first point of contact for P&C related inquiries and is responsible for managing key communications employee documentation and records management tasks in alignment with organizational policies and union collective bargaining agreements (CBAs). This role also supports various compliance auditing facilitating employee transitions including onboarding and offboarding functions maintaining P&C employee files and supporting ongoing digitization processes while ensuring that sensitive employee information is handled with discretion.

ESSENTIAL FUNCTIONS

Departmental & Administrative Support

  • Monitor and manage the centralized HR email inbox ensuring timely responses and appropriate routing
  • Serve as the first point of contact for internal staff and external agencies regarding general HR inquiries while maintaining confidentiality and compliance
  • Process and respond to Verification of Employment (VoE) requests in alignment with internal policies
  • Review and receive incoming subpoenas and legal requests involving employee records coordinating with Legal as needed
  • Assist with EDD claims such as unemployment short term disability and filing workers comp claims
  • Respond to and process Public Service Loan Forgiveness (PSLF) forms according to federal guidelines and organizational policies
  • Support data entry for new hires and position changes
  • Assist with new hire onboarding events
  • Receive and sort all packages maintain accurate records of packages received and claimed notify recipients of pick-ups; ensure deliveries are claimed within reasonable amount of time (max 24 hours)

  • Manage the Anita Mae Rosenstein Campus (AMRC) mail room

  • Review and receive subpoena deliveries and process accordingly

  • Prepare and distribute Separation of Employment notices and send required termination documents

  • Perform other duties as assigned

Records Management & Digitization

  • Scan organize and electronically file HR documents with accurate indexing and categorization
  • Lead the departments digitization project converting paper files to digital and ensuring compliant disposal of physical records

    Maintain and update the HR file storage log for both physical and digital files

  • Pull return and organize files for audits reviews and union-related matters

  • Support digital file clean-up and reorganization efforts to ensure accuracy and completeness of employee records

  • Retrieve compile and provide access to personnel and medical files as requested for HR Legal audits or investigations

  • Request receive and track terminated employee files from offsite storage maintaining a secure and up-to-date log

  • Generate and run routine and ad hoc reports using HRIS or other designated systems
  • Support consistent People & Culture practices in alignment with labor agreements (CBAs) and organizational values of equity and transparency

REQUIRED QUALIFICATIONS

  • Minimum 3 years relevant experience in a human resources administrative support role
  • Experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people
  • A passion for the Centers work and its mission to make the world a better place for LGBTQ people
  • Minimum 3 years experience with HRIS and LMS
  • Proficiency with Microsoft Office Suite; advanced Excel skills
  • Strong communication interpersonal and organizational skills with an ability to prioritize and multi-task
  • Strong customer service orientation to all internal and external interactions including but not limited to HR staff as well as Center managers supervisors employees visitors and vendors
  • Demonstrated success adapting to a fluid fast-paced business environment while managing multiple projects concurrently and demonstrating a sense of urgency and results orientation
  • Strong proactive problem-solving abilities and inquisitive nature
  • Access to reliable transportation
  • Demonstrated ability to work effectively with people of diverse races ethnicities nationalities sexual orientations gender identities socio-economic backgrounds religions ages English-speaking abilities immigration status and physical abilities in a multicultural environment
  • Strong time-management skills with a high level of attention to detail and accuracy
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Commitment to equity public service and supporting a positive and compliant work environment

PREFERRED QUALIFICATIONS

  • Bilingual skills (English/Spanish fluency preferred)
  • A bachelors degree in human resources or business administration
  • Human Resources experience within a non-profit and union environment is highly desirable
