    Portland Public Schools a collaborative student-centered district focused on innovation and community partnerships is seeking a detail-oriented and collaborative Pupil Accounting Coordinator to join our administrative team. This position plays a critical role in maintaining accurate and compliant student data across the addition to leading all pupil accounting functions the coordinator serves as the Student Information System (SIS) support person and oversees our Shared-Time Partnership Program. The ideal candidate will have a strong understanding of Michigan state reporting requirements excellent data management skills and the ability to support system users across the district.

    The essential duties and responsibilities:

    Pupil Accounting:

    • Manage all aspects of state-required pupil accounting and membership reporting in compliance with Michigan Department of Education (MDE) guidelines.

    • Coordinate and submit all MSDS (Michigan Student Data System) collections including: General Collections (Fall Spring and End-of-Year) Student Record Maintenance (SRM) Files Early Childhood Collections Teacher Student Data Link (TSDL) Early Roster Registry of Educational Personnel (REP) and Days and Clock Hours (DCH)

    • Oversee and verify data accuracy for: Enrollment re-entry and exit dates Attendance records FTE (Full-Time Equivalency) calculations Program participation (Special Education CTE 504 Homeless EL etc.) School of Choice and Nonpublic Shared-Time students

    • Coordinate and conduct Fall and Spring Count Day activities: Distribute count day guidance to staff Collect and review supporting documentation for all students Audit and reconcile discrepancies

    • Serve as the districts liaison with the Intermediate School District (ISD) and Center for Educational Performance and Information (CEPI) to ensure timely and accurate data submissions.

    • Remain current on legislative and policy changes affecting pupil accounting and communicate updates to relevant staff.

    • Provide training technical assistance and compliance support to school secretaries counselors and administrators.

    • Maintain secure documentation and audit trails for all submissions and reporting cycles.

    Student Information System (SIS) Support:

    • Serve as a point of contact for the SIS (Skyward/PowerSchool)

    • Provide SIS support to school-level secretaries and administrative staff.

    • Troubleshoot and resolve SIS-related issues and serve as liaison to SIS vendor and technical support.

    • Monitor data integrity across all schools and ensure consistent data entry practices and compliance.

    • Support the integration of SIS data with state reporting systems and other educational software platforms.

    Shared-Time Partnership Lead:

    • Oversee the planning implementation and monitoring of the Shared-Time Program in collaboration with private and parochial schools.

    • Ensure compliance of all shared-time student records schedules and teaching assignments with Michigan state law.

    • Communicate with partner institutions to maintain positive working relationships and resolve scheduling or programming conflicts.

    • Ensure accurate reporting and documentation of all shared-time students in state collections.

    • Collaborate with instructional and support staff to coordinate schedules instructional delivery and student support services.

    Eligible candidates must meet the following qualifications:

    • High school diploma or equivalent; associate degree or higher preferred.

    • Demonstrated experience in pupil accounting data reporting or school operations.

    • Strong knowledge of Michigan Department of Education requirements and CEPI reporting systems.

    • Proficiency in student information systems (e.g. PowerSchool Skyward) and Microsoft Office applications.

    • Strong attention to detail time management analytical and communication skills.

    • Ability to maintain confidentiality and exercise sound judgment.

    • Experience working in a K-12 public school setting preferred.

    • Familiarity with Michigan Shared-Time Programming and related compliance requirements preferred.

    • Prior experience supporting school administrative systems and reporting platforms preferred.

    • Ability to train staff and provide user-friendly documentation or guidance materials preferred.

    • Compensation: $52000- $60000 based on experience plus benefits and education & MSBO stipend
