Description

Job Summary
The Employee Success (HR) Coordinator will drive the recruitment process ensuring a smooth onboarding experience for new hires providing support to the Employee Success department and managing various employee engagement initiatives. You will also play a key role in addressing minor employee relations matters and ensuring a positive employee experience across the organization. The ideal candidate will be a strategic thinker with strong communication skills and a passion for creating an inclusive and engaging workplace.
Duties/Responsibilities
  • Event Planning & Coordination:
    • Plan and coordinate company-wide events such as service award ceremonies employee recognition events team-building activities and Lunch & Learn sessions ensuring speakers are scheduled invitations are sent and logistics are managed.
    • Assist in planning and executing employee wellness programs staff appreciation events and other ES initiatives that contribute to a positive work culture.
  • Service Awards & Employee Recognition:
    • Coordinate and track service awards and employee recognition programs ensuring timely delivery and recognition.
    • Collaborate with leadership to identify key milestones for employee recognition such as work anniversaries or outstanding achievements.
    • Help maintain a positive and inclusive culture through thoughtful employee engagement initiatives.
  • Exit Interviews & Offboarding:
    • Coordinate and conduct exit interviews for employees leaving the organization.
    • Ensure all exit interview feedback is properly recorded and shared with the appropriate stakeholders to help improve retention strategies.
    • Assist with the offboarding process including ensuring the return of company property updating records and facilitating final pay and benefits information.
    • Support the development of strategies to reduce turnover based on exit interview data.
  • Administrative & Employee Support:
    • Provide general support to the ES department including managing calendars scheduling meetings and preparing reports.
    • Assist in the preparation of ES-related communications and materials.
    • Support minor employee relations matters acting as a neutral party to mediate small conflicts or misunderstandings and escalating issues to management when necessary.
    • Promote a positive work environment by supporting initiatives that encourage open communication and employee engagement.
    • Ensure employees are aware of company policies and procedures providing clarification as needed.
  • Recruiting Support
    • Support the full recruitment life cycle along side the Talent Acquisition Specialist
    • Conduct intake meetings for all positions meeting with hiring managers to explain the recruiting process set expectations and gather key details about the role and ideal candidate.
    • Act as the secondary point of contact for candidates ensuring a seamless and positive candidate experience.
    • Maintain recruitment tracking systems and provide status updates to hiring managers.
    • Follow up on background checks reference checks and offer letters as part of the hiring process.
    • Coordinate and execute all aspects of new hire onboarding including preparing new hire documents setting up workspaces and facilitating orientation sessions.
    • Ensure new hires have a smooth transition by introducing them to key team members and providing them with necessary resources.
    • Assist new hires with completing paperwork benefits enrollment and other administrative tasks.
    • Support the ES team in managing new hire training schedules and compliance documentation.

Qualifications

  • Excellent organizational and multitasking skills with attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and ES software (e.g. applicant tracking systems).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive proactive and team-oriented mindset.
  • Experience with event planning and coordination is a plus.
Education and Experience
  • Bachelors degree in Business Administration Human Resources Counseling or related field (preferred)
  • 2 years of experience in a recruiting ES coordinator or related role (preferred).
  • Strong experience with full-cycle recruiting including sourcing screening and interviewing.
  • Experience addressing minor employee relations matters or conflict resolution (preferred).
