Job Summary
Under the direction of the Administrative Manager and general direction of the Associate Dean for Undergraduate Medical Education for MGH and Course and Clerkship Directors; the Course Coordinator will oversee all tasks involved in the administrative operations of teaching and educational activities for multiple Harvard Medical School (HMS) Undergraduate Medical Education (UME) courses. Will integrate into the UME team and interface with office staff HMS staff students residents preceptors patients and other program faculty to ensure that students receive an optimal clinical experience.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Assists in scheduling and operational activities for various Department of Medicine Undergraduate Medical Education courses.
Works closely with course/clerkship directors of each course/clerkship in all facets of planning operation and evaluation of courses. To include:
Scheduling of orientations exit interviews central teaching sessions didactics & other student scheduling matters.
Preparation distribution and communication of monthly course schedules and materials for faculty and students.
Secures instructional space and needed equipment at MGH and HMS.
Coordinate catering needs for meetings and course/clerkship events
Obtaining distributing and archiving of student evaluations
Patient Recruitment for instructional sessions in classroom setting as well as inpatient setting.
Assists in maintaining online educational portals
Assist with event planning for student and faculty social events
Serves as a resource for students in resolving their scheduling and preceptor problems as well as other needs of students as they pertain to the course/clerkship.
Assists in basic budget management and tracking including; faculty teaching tracking and patient payments.
Works closely with Administrative Manager to ensure all course and clerkship needs are being met.
Collaborates and contributes to the administration team for various activities (including but not limited to; UME & Teaching and Education)
Attend Course/Clerkship and Team meetings as they arise. Keep meeting minutes when required.
Maintains all departmental instructional and student files within an MGH Shared Drive
Other administrative needs as they arise
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Superior organizational skills attention to detail and high reliability required. Ability to prioritize and multi-task in an occasionally busy environment.
Excellent communication skills are essential including verbal written and computer communication abilities.
Must be a team player and able to act in a professional manner when interacting with all levels including students and faculty.
Strong analytical and troubleshooting skills and have an ability to exercise sound judgment and discretion in dealing with confidential and time-sensitive matters.
Strong critical thinking problem-solving and attentiveness to detail required. Ability to work well under pressure.
Must be self-motivated possess strong time management skills and be comfortable working independently.
Must be comfortable interacting with a variety of staff at all levels.
Excellent MS Word and MS Excel (word processing/spreadsheet/database) skills.
Knowledge of Microsoft Office and Microsoft Teams and Zoom.
Knowledge of or ability to learn new online educational platforms (i.e; MyCourses Canvas Oasis) and other database management programs as necessary.
Knowledge of basic financial analysis and budget processes helpful but not necessary.
SUPERVISORY RESPONSIBILITY:
Provides functional guidance to students as necessary.
FISCAL RESPONSIBILITY:
Responsible for processing and monitoring payments to patients who participate in student instructional sessions.
Monitors and maintains spreadsheets of course expenses which are submitted during budget planning season.
