This is more than a standard administrative role. You will be the organizational cornerstone for the Director of the Office of International Affairs & Commerce working in close partnership with the Director and their Chief of Staff. You will play a vital part in ensuring the seamless operation of a key federal office dedicated to managing international marine resources. What Youll Do: Key Responsibilities
As the Executive Administrative Assistant you will be entrusted with a wide range of duties that require precision foresight and professionalism.
- Executive Calendar Management: Serve as the primary gatekeeper and manager for the Directors complex schedule proactively coordinating meetings vetting requests and ensuring all necessary briefing materials are prepared and delivered well in advance.
- Meeting & Event Coordination: Flawlessly manage logistics for internal and external meetings including securing venues arranging room setup running presentations and handling pre-clearance for all domestic visitors.
- Document & Information Flow: Manage the flow of critical information by finalizing official documents maintaining a secure digital repository of memos and decisions and assisting with internal tasks as directed by the Chief of Staff.
- Office Travel Coordination: Act as the central point of contact for office travel skillfully handling flight and hotel bookings processing expense reports and providing comprehensive travel assistance to staff.
- Professional Representation: Serve as a polished first point of contact for the Directors office greeting members of the public answering phone calls and routing inquiries with professionalism and efficiency.
- Special Projects: Take on special assignments and projects as needed demonstrating flexibility and a can-do attitude.
What Youll Bring: Required Experience & Skills
We are seeking a candidate with a proven track record of excellence in executive support.
- Education: An Associates degree is required.
- Experience: A minimum of 3 years of professional experience providing direct administrative support to senior-level leadership (e.g. Director VP C-Suite).
- Technical Proficiency: Expert-level knowledge of the entire Microsoft Office Suite (Outlook Word Excel PowerPoint) and Google Workspace products (Gmail Google Docs Google Calendar).
- Exceptional Communication: Strong and articulate written and verbal communication skills with the ability to interact professionally with staff at all levels government officials and the public.
- Organizational Mastery: World-class organizational skills with the ability to work on multiple tasks with minimal supervision and a keen eye for detail.
- Problem-Solving Mindset: A demonstrated ability to anticipate needs problem-solve proactively and present potential solutions to leadership.
- Adaptability: The capacity to expertly prioritize workloads and meet deadlines in a dynamic and occasionally fast-paced environment.
