The Town of Eaton Colorado is looking for a part-time Municipal Court Clerk.

This position is with the Town Clerk Office.

ABOUT THE POSITION

Under general supervision the Municipal Court Clerk is responsible for performing a variety of administrative clerical and customer service tasks to support the efficient operation of the Municipal Court. This position is often the primary point of contact for the public regarding court-related matters and plays a key role in maintaining accurate court records and ensuring compliance with legal procedures. Reports directly to the Town Clerk.


ESSENTIAL FUNCTIONS

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.   • Serve as the primary administrative support for Municipal Court operations.
  • Prepare maintain and file accurate court records dockets and case files in accordance with Town and State requirements.
  • Schedule court hearings trials and other proceedings; issue notices to all involved parties.
  • Collect and process fines fees and other court-related payments; issue receipts and maintain payment records.
  • Prepare and distribute summonses subpoenas notices and other legal documents.
  • Provide information to the public regarding court procedures fines and scheduling.
  • Coordinate with law enforcement attorneys and other Town departments as needed.
  • Attend court sessions; assist the Municipal Judge by calling cases maintaining order and recording proceedings.
  • Prepare and submit required reports to the Colorado State Court system and other relevant agencies.
  • Ensure compliance with applicable Town ordinances state laws and court procedures.
  • Maintain confidentiality of sensitive information and adhere to records retention policies.
  • Perform general office duties including data entry filing and responding to public inquiries.
  • Other duties as assigned.

KNOWLEDGE SKILLS and ABILITY

  • Ability to consistently promote support work and act in a manner in support ofTowns vision mission and values.
  • Knowledge of or ability to learn Colorado municipal court procedures and legal terminology.
  • Strong attention to detail accuracy and organizational skills.
  • Proficiency with computers and office software including Microsoft Office.
  • Strong communication and interpersonal skills; ability to interact effectively with diverse members of the public.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently multitask and prioritize responsibilities
  • Knowledge of legal terminology and legal documentation format sufficient to be able to read interpret and prepare legal documents.

Minimum Qualifications

Experience

  • Four (4) years of administrative clerical or customer service experience required. One (1) year of which must be experience in a legal municipal or court setting. This is in addition to any years used to satisfy the education requirement.
  • An equivalent combination of education and experience may be substituted on a year for year basis.


Education

  • High School Diploma or General Education Diploma (GED) equivalent is required.
  • At least two years of college preferred.
  • Bilingual skills (English/Spanish) desirable but not required.

Additional Requirements/License/Certifications

  • Must be a notary or be able to become a notary within six (6) months of employment is required.
  • Must have reliable transportation.
  • Must have a valid drivers license.
  • Ability to work a flexible weekday schedule to accommodate court attendance.
  • Must pass a driving record (MVR) reference check criminal history background check prior to the start of employment.
  • Must be able to provide documentation that proves eligibility to work in the United States without sponsorship.


WORKING ENVIRONMENT

  • Work is generally performed in an indoor professional office environment.
  • Operates computer and general office equipment such as calculator copier and facsimile machine.
  • Work requires regular contact with the public town departments state federal local businesses.
  • Subject to many interruptions with pressure due to multiple calls and inquires.


PHYSICAL AND MENTAL REQUIREMENTS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Ability to stand sit walk walk talk reach with arms and hands have good manual dexterity use hands and fingers to operate a computer and telephone keyboard handle or feel hear alarms/telephones/normal speaking voice.
  • This is largely a sedentary role; however some filing is required; it would require the ability to reach for and lift files open filing cabinets and bend or stand on a stool as necessary.
  • Specific vision abilities required by this job include close vision distance vision color vision and ability to adjust focus.
  • Work primarily involves a high degree of visual and/or mental concentration.
  • Light physical effort may be required by moving and positioning objects up to 20 pounds occasionally and / or 10 pounds frequently.
