Job Description

Overview

The Compliance Assistant supports the Emma Eccles Jones College of Education and Human Services Sorenson Center for Clinical Excellence (SCCE) in addressing its privacy and security needs especially in healthcare while ensuring compliance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and other relevant privacy and security laws. This role requires a highly detail-oriented individual who excels at managing multi-step administrative processes across various systems ensuring accuracy consistency and complete task execution. The Compliance Assistant will report to the SCCE Compliance Officer.

Responsibilities

  • Support compliance audits projects and reviews in collaboration with Compliance team members.
  • Provide administrative support to ensure smooth operations.
  • Coordinate physical access to the SCCE building and ensure proper documentation.
  • Process on and off-boarding requests for clinical workforce members including provisioning and deprovisioning access to systems and secure areas.
  • Maintain accurate records of required HIPAA and other healthcare-related training for all workforce members within CEHS health care components.
  • Manage credentialing and de-credentialing workflows for access to electronic health information (ePHI) systems.
  • Track review and maintain logs of system and physical access within healthcare components.
  • Conduct annual key inventory and maintain up-to-date access records.
  • Participate in relevant compliance initiatives.
  • Complete other compliance-related tasks and duties as assigned.

Qualifications

Minimum Qualifications:

  • 1-2 years in healthcare compliance or an administrative support role.
  • Proficient in Microsoft Office Suite (Word Excel Outlook etc.) for data tracking report generation and communication.
  • Working knowledge of HIPAA Privacy and Security Rules.
  • Proven customer service skills and professional demeanor.

Preferred Qualifications:

  • Familiarity with health information privacy laws compliance standards and clinical operations.
  • Bachelors degree in Healthcare Administration or relevant certification (e.g. CHPC CHPS CIPP).
  • Experience with electronic health record systems ServiceNow and learning management systems (LMS)..
  • Prior experience in a university or academic health care setting.
  • Understanding of clinical services and offerings within USUs Sorenson Center.

  • Exceptional attention to detail and a commitment to accuracy in all work.
  • Demonstrated ability to follow multi-step processes consistently and thoroughly across various software platforms.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Proactive self-starting approach to problem solving and task execution.
  • Capable of handling sensitive information with the highest degree of confidentiality.
  • Strong interpersonal and communication skills; able to interact effectively with faculty staff students and other stakeholders.
  • Proficient in documenting workflows status updates and compliance records with clarity and consistency.
