Job Description

Community Relations Department

Seasonal Holiday Specialist


Hours: Monday - Thursday with nights and weekends throughout

Status: Full Time

Reports to: Chief Community Relations Officer


Purpose:

This position falls under the supervision of the Chief Community Relations Officer and is on the Community Relations team which plans and executes holiday programs. Duties for Community Relations events fall within this position.


Duties Functions and Responsibilities:


  1. Will be an integral and essential part of the Holiday Programs Team.
  2. Assist with research preparation and execution of all holiday events including but not limited to: Intake Thanksgiving Food Drives Turkey-Thon Toy Drive Toy Distribution Agency Toy Distribution and Adopt-A-Family.
  3. Attend and support all activities in #2 as needed including most Fridays and Saturdays in November and December.
  4. Assist with volunteer management for all holiday activities in #2 as needed.
  5. Assist Project Manager with preparation and execution of Thanksgiving Food Drives and Turkey-Thon.
  6. Recruit food drive partners by contacting past participants via email and telephone to register for current year. Responsible for maintaining accurate data and communications with team and community partners.
  7. Manage volunteers and on-site logistics at the 98.5 KLUC Chet Buchanan Show Toy Drive. Responsible for maintaining accurate data and communications with team and on-site partners.
  8. Assist with Toy Distribution including but not limited to data management store set-up restocking store assisting on-site volunteers client check-in and working directly with clients.
  9. Assist with Agency Toy Distribution including but not limited to grant review data management communication management with partners scheduling pick-ups and on-site support.
  10. Assist with Adopt-A-Family including but not limited to data management thorough communication with clients and donors scheduling donor drop-offs scheduling client pick-ups working on-site to accept donor gifts and working on-site to distribute donor gifts to families.
  11. Assist with Intake including but not limited to screening for client eligibility safely and accurately securing client information assist on-site volunteers with intake questions data management and maintaining professional communication with team volunteers and clients.
  12. Manage Holiday Programs Access database data entry and paper holiday vouchers to ensure client data is as complete and organized as possible.
  13. General office duties include but not limited to copying filing answering phones answering emails using MS Office Suite including Outlook Word Excel PowerPoint Publisher.
  14. Responsible for checking phone messages and emails from our holiday hotline in a timely manner.
  15. Run errands; including deliveries and pick-ups for holiday programs as needed with HELP or personal vehicle. Examples include box deliveries for food drives; pickups and deliveries to Toy Drive site at NV Energy; pick up donations as needed.
  16. Post-holiday activities including but not limited to securing photos in our S Drive from all staff from holidays assisting with creation of thank-you slideshow for donor appreciation thank-you packets donor acknowledgement closure of Holiday Programs researching planning and executing HELP events as needed.
  17. Other duties as may be assigned.

Qualifications Education and/or Equivalent Experience:

  1. High School Diploma or GED
  2. Must be over 21 (due to some event locations)
  3. Must be able to work nights and weekends during Holiday Programs and Events.
  4. Must be flexible with work schedule on a short notice.
  5. Event Planning experience preferred.
  6. General computer knowledge and ability to use Microsoft Office software to include but not limited to Word Excel PowerPoint Publisher and Access.
  7. Ability to use Google Docs Google Sheets Google Forms and other Google Platform tools.
  8. Effective written verbal and listening skills.
  9. Experience with any donor database helpful; DonorPerfect experience preferred.
  10. Ability to independently initiate and respond to various correspondence.
  11. Must be able to multitask at all times. Will be expected to switch back and forth between tasks and efficiently perform job responsibilities one right after another.
  12. Flexible and able to quickly adjust to shifting priorities and schedules.
  13. Some lifting up to 20 pounds is required; i.e. lifting bags of toys and boxes of donations; transferring assembled bicycles into vehicles.
  14. Understand and follow all agency policies and procedures.
  15. Must be able to pass a background check and pre-employment screening.
  16. Must have a valid NV drivers license for minimum 5 years (preferred) and clean DVM record.
  17. Position is seasonal; ideal candidate can begin mid-August and end in mid-to-late February or as needed. Position can lead to full-time employment within other HELP departments.

Working Conditions:

Work is performed in an office environment with driving required at times. Holiday Program activities take place indoors and outdoors. May be subject to full body movement such as sitting standing lifting 20 lbs or more pushing pulling grasping loading and unloading vehicles bending squatting and walking.
