Position Summary:
The Federal Programs Coordinator supports the districts implementation and compliance with all federal education programs with a strong focus on accurate reporting compliance monitoring and budget oversight. This position plays a vital role in coordinating the activities and requirements of Title I and other federal initiatives working collaboratively with schools nonpublic entities and district leaders to ensure efficient and compliant program operations.
Essential Functions:
- Federal Programs Administration & Compliance
- Coordinate all processes related to the implementation reporting and compliance of federal programs including but not limited to Titles I II III IV and Title I.D (Neglected & Delinquent).
- Ensure building-level and district-level compliance with federal plans by reviewing submissions providing guidance to building leaders and overseeing the upload of documentation into appropriate systems (e.g. Canvas DESE).
- Facilitate the annual review and revision process of district-wide federal program plans ensuring timelines regulations and stakeholder input requirements are met.
- Staff Assignment Reports & Core Data Corrections
- Lead the preparation submission and ongoing accuracy of staff assignment reports in alignment with federal and state coding requirements.
- Collaborate with the Core Data Coordinator to ensure accurate coding of federal program positions and resolve data anomalies promptly.
- Monitor staff assignments in relation to funding sources and program guidelines to ensure proper allocation and reporting.
- Fiscal Oversight & Budget Support
- Provide oversight to ensure all federal expenditures are necessary reasonable and allocable under program requirements.
- Assist in developing and reviewing monthly budget reports amendments and payment requests in collaboration with the Assistant Superintendent of Finance.
- Track expenditures and provide technical assistance to buildings on compliant use of funds.
- Meeting Facilitation & Consultation
- Coordinate and facilitate annual federal program meetings including the district annual review meeting nonpublic/private school consultations and stakeholder reviews. Ensure building compliance with meeting requirements.
- Serve as the liaison for Title I.D programming including juvenile justice partnerships neglected and delinquent caseload count reporting and related documentation.
- Program Support & Communication
- Support federal program administrative assistant for inquiries related to federal student services and programming.
- Disseminate relevant federal program information to district and building staff families and nonpublic partners.
- Communicate with nonpublics to approve PD requests and provide technical support for program implementation.
- Other Duties
- Carry out all other duties as assigned to support the implementation and monitoring of federal education programs.
