Description

Position Objective

Responsible for supporting the day-to-day operations and administration of the resorts rental condominiums homes and villas. This role provides administrative support to the Rental Management Team while maintaining strong relationships with owners and ensuring a high level of service and operational efficiency.

Essential Job Functions

  • Greet and assist guests and owners visiting the Rental Management office.
  • Answer and direct incoming calls to the Rental Management office.
  • Assist in managing and maintaining owner relationships.
  • Coordinate and oversee routine repairs and maintenance of units.
  • Submit service requests and coordinate unit access and status changes (e.g. placing units out of order).
  • Address basic owner inquiries and concerns promptly and professionally.
  • Monitor owner arrivals and manage no-show procedures.
  • Coordinate vendor and realtor access to properties as needed.
  • Assist with onboarding and offboarding procedures for owners entering or exiting the rental program.
  • Maintain accurate records for owner agreements work orders vendors and related correspondence.
  • Track and update current credit card and insurance policy information.
  • Assist with digital organization of files including banking details government rental forms and inspection documents.
  • Liaise with internal departments including Housekeeping Engineering Reservations and Accounting to address owner needs.
  • Support month-end processes and reporting.
  • Contribute to departmental goals and initiatives.
  • Attend scheduled meetings and training sessions as required.
  • Perform other duties as assigned by leadership.

Qualifications

Education & Experience

  • High school diploma or equivalent required.
  • 35 years of experience in property management or a related field (e.g. construction) preferred.
  • Proficiency in Microsoft Office Suite including Excel Word Outlook and PowerPoint.

Requirements & Skills

  • Ability to communicate fluently in English (written and verbal); Spanish language skills are a plus.
  • Excellent computer and technology skills with strong attention to detail.
  • Strong organizational multi-tasking and time management abilities.
  • Capable of working independently with minimal supervision.
  • Professional demeanor and excellent customer service skills.
  • Physically able to reach bend stoop and lift up to 50 lbs.
  • Comfortable working in various environmental conditions (hot cold wet loud etc.).
  • Flexible schedule including weekends and holidays as needed.
  • Strong problem-solving skills and sound judgment.
  • Team player with the ability to thrive in a fast-paced environment.
  • Professional appearance and grooming in accordance with company guidelines.
  • Willingness to support additional duties as needed to ensure the success of the department and resort.
