Job Description

The Operations Specialist ensures the smooth execution of internal operations project coordination and cross-team collaboration for the Ministry Advancement team. This person serves as a central point of accountability for project workflows ensuring that initiatives are delivered on time within budget and aligned with strategic goals. The Operations Specialist oversees systems that support team communication resource management and internal logistics while also supporting team leadership.

Location: Richmond VA Headquarters

Responsibilities:

  • Leads the planning and execution of cross-functional projects by establishing timelines deliverables and success metrics. Coordinates resources across departments tracks progress and ensures project milestones are met.
  • Anticipates obstacles and proactively addresses operational inefficiencies. Serves as the point of contact for internal project communication and follow-through ensuring alignment across stakeholders.
  • Maintains and improves internal collaboration platforms (e.g. SharePoint) to ensure accurate accessible documentation of plans procedures and key resources.
  • Develop and implement standard operating procedures that support internal workflows and communication consistency. Enhances the teams ability to operate efficiently through improved visibility structure and resource access
  • Provides high-level scheduling support for the Chief Advancement Officer ensuring that internal priorities external engagements and travel commitments are aligned and managed proactively.
  • Collaborates with other departments to maintain a shared executive travel calendar enabling field teams to coordinate donor engagement opportunities within leader travel windows. Manages logistics and materials for meetings and key engagements supporting leadership with clarity and foresight
  • Partners with leadership to manage team financial resources including budget tracking expense reconciliation and monthly reporting. Supports fiscal integrity across departmental initiatives and monitors expenditures to ensure budget compliance.
  • Maintains and regularly updates internal team procedure manuals and onboarding resources. Ensures all staff have access to current tools workflows and organizational guidance.
  • Oversee the onboarding process for new team members and facilitate documentation continuity supporting long-term team knowledge and operational consistency.

Requirements:

  • Bachelors degree preferred
  • At least three years of proven experience with operations project management and/or process management
  • Ability to assess priorities identify risks and manage cross-functional logistics and workflows.
  • Requires strong organizational skills independent judgment and a proactive mindset.
  • Ability to develop manage and evaluate team-wide project plans.
  • Skilled in deadline management delegation and process improvement.
  • Strong interpersonal skills; able to communicate clearly with stakeholders at all levels; drafts clear agendas summaries and updates.
  • Proficient in SharePoint Teams Excel and cloud-based productivity tools. Capable of troubleshooting and improving internal systems
  • Experience with tracking and reconciling budget and expense
