The Senior SEED Liaison provides professional comprehensive and confidential executive-level administrative support to the Vice President of SEED including Sr. Directors Directors and Managers as needed. This role involves strategic thinking and planning consultive decision making with the VP organizing and coordinating the activities of the Vice President of SEED. This requires extensive knowledge of their responsibilities routines and skillful navigation of various methods of working and communicating. The position requires the ability to multitask manage multiple projects meet multiple competing and shifting deadlines and sustain critical business relationships. Attention to detail thoughtful decision-making creative problem solving and a proactive and efficient approach to working with little supervision is required as is handling shifting priorities/time demands and interfacing inside and outside the organization with a high level of aplomb professionalism and confidentiality.
The museums Science Equity and Education Division the largest division within the Science Museum develops strategies to engage with and support a broad level of constituent groups to include research scientists collections managers and stewards learning researchers and evaluators youth workers community members formal and informal science educators museum colleagues nationally and locally and funders/donors to advance the museum mission.
JOB DUTIES & RESPONSIBILITIES:
Key accountabilities include but are not limited to:
- Provide executive-level support to the Vice President of SEED and divisional leadership as needed including complex calendar management data analysis and reporting fiscal management meeting & event coordination and preparation travel coordination and internal and external communication to include drafting presentations slide decks and spreadsheets as needed.
- Ensure proactive preparation and strategic communications well in advance of all meetings/events through extensive knowledge of the VP of SEEDs activities priorities and partnerships
- Collaborate with the VP of SEED to strategize plan and execute projects involving internal and external partners/stakeholders.
- Manage and lead SEED meetings to include relationships with partners donors and clients. Create and edit content meeting notes and other documentation such as minutes and presentations.
- Collaborate with other Vice Presidents and their staff to coordinate and execute projects.
- Act as a proxy and liaison for the VP of SEED working independently in assisting clients community leaders and organizational staff as needed. Provide a bridge for smooth communication between the VP of SEED and staff demonstrate leadership to maintain credibility trust and support within the division.
- Deeply commit to continuing personal work on leadership development while collaborating with peers and staff within the SEED on racial equity.
- Function as divisional point of contact for all staff.
- As a critical resource for the division create agendas take notes at meetings field questions connect staff anticipate needs act as a professional confidante and provide resources across the museum.
- Manage highly confidential data and information. Create business critical documents with little oversight including but not limited to: correspondence agendas spreadsheets & presentations. May perform research when appropriate and as requested by members of the division on an as-needed basis.
- Create purchase orders pay invoices and reconcile expenses.
- Purchase supplies materials and gifts as needed.
- Approve and edit timesheets for divisional leaders when needed
- Support division budget/forecasting processes and reporting.
- Collaborate with executive administrative staff for scheduling coordination and to create and improve administrative processes & procedures throughout the museum.
- Observe a flexible schedule inclusive of occasional nights and weekends as business demands.
- Perform other related duties as assigned.

QUALIFICATIONS:
- Education:High school diploma
- May substitute an equivalent combination of education and experience as determined by hiring manager.
- Required Experience and Proficiencies:
- 5 years executive level administrative support to senior leadership and/or complex divisional structure
- 5 years experience and demonstrated expertise in two or more of the following disciplines: project management operations of nonprofit organizations and/or major event planning and coordination.
- Highly organized with clear attention to detail.
- Proven experience adapting to changing deadlines shifting priorities handling unpredictable circumstances and navigating a perspective range from granular detail to big picture.
- Preferred:
- Google Workspace experience
- Certifications: Project Management certification is desired but not required.
- Work Environment: Onsite at the Science Museum of Minnesota in St Paul MN Monday Tuesday Wednesday Thursday. Friday is an optional hybrid day but not guaranteed as this position must adjust to respond to emerging divisional needs. Must observe a flexible schedule inclusive of occasional nights and weekends to support and respond to the business needs of the VP the SEED division and the Museum.
STARTING COMPENSATION: $70202 - $80734 (Grade 12; dependent on qualifications)
