We are seeking an Academic Services Specialist Temporary/Part-time (x2) who will be reporting to the Academic Services Administrator on Homewood Campus this position is responsible for overseeing the data management systems processes policy implementation and workflow of the following functions of the Registrars Office.

Reporting to the Associate Director of Student Records & Registration the
-
Academic Services Specialist provides administrative support to the Homewood Schools (KSAS & WSE) Registrars Office.
-
The position is proactive anticipates future needs of the Office and demonstrates and strong customer service in a demanding and fast-paced environment.
-
Responsibilities include but are not limited to managing records updates external catalog course creation and external transfer work processing responding to phone email and salesforce case inquiries and problem solving maintaining confidential information and other administrative tasks.

The Academic Services Specialist serves an important and visible role communicating with both faculty staffand current and prospective students.
Specific duties & responsibilities:

Process external transfer work daily following procedures to ensure a smooth
-
workflow.
-
Assist with maintenance of student records. Conduct data audits as
-
needed.
-
Correspond regularly via email with faculty and sta .
-
Provide administrative support for general office duties.
-
Other duties as assigned.
Minimum qualifications (mandatory):
-
High School Diploma
-
Minimum of 3 years office/administrative experience
-
Must possess strong organizational and problem solving abilities.
-
Excellent interpersonal oral and written communication skills.
-
Must be able to communicate technical details and instructions clearly and concisely verbally and in writing to diverse groups.

Strong customer service skills.
-
Ability to work well under pressure remain flexible to meet competing timeframes prioritize work and multi-task.

Ability to work independently and exercise independent and professional judgment.

Must be able to maintain confidential documents.

Ability to collaborate and build strong effective working relationships across departments.

Knowledge of office administration effective scheduling and administrative support services.

Advanced knowledge in the use of software applications databases spreadsheets and MS Word is required.

Knowledge of the standards and best practices of record maintenance including automated records systems.
Preferred qualifications:

Bachelors degree preferred.

Knowledge of Student Information Systems such as SIS OnBase and Salesforce.

Knowledge of FERPA regulations and AACRAO best practices is required.

Knowledge of higher education and University policies and procedures Federal State and local laws and regulations regarding the security of student academic records and the Family Educational Rights and Privacy Act

(FERPA) is needed to assist students with inquiries related to transcripts and to assist all other clients and staff regarding student records.

Minimum of 3 years office/administrative experience; preferably within higher education.
