ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Opens and closes appointments desk per assignment and work schedule. Electronically enters patient charts into Resource and Patient Management System (RPMS) and the Dentrix daily schedule notifies clinical staff of patient arrival. Brings patient documents from clinical area to be scanned. Assembles documents of patient record and scans to an electronic format following Health Information Management (HIM) Quality Assurance guidelines. Communicates with HIM regarding policies and procedures in updating and storing patient records.
- Schedules cancels or reappoints patient appointments through the Dentrix Enterprise System and RPMS appointment package mails appointment slips daily; confirms patient appointments and consults with providers when conflicts arise.
- Reviews proper instruction sheets with the patient to assure patient understanding of next and/or in between visits by giving appointment slips. Reviews and screens referrals for urgency and eligibility.
- Maintains confidentiality of patient information in compliance with Health Insurance Portability and Accountability (HIPAA) and FDIHB Inc. policies.
- Maintains current and attends required Safety and Infection Control in-services. Responds correctly to all safety codes (mock or real).
- Greets and directs patients families and visitors to appropriate personnel maintaining professional and courteous demeanor. Answers questions about dental services and provides general information.
- Answers incoming telephone calls determines purpose of calls and forwards calls to appropriate clinic personnel or FDIHB department ensuring professional telephone etiquette. Receives and relays telephone and visitor messages conforming to standards of professional etiquette.
- Performs generalized and specialized typing; utilizes word processing computer software telecommunication equipment and printing equipment. Copies and scans materials papers manuals etc. and send fax per need.
- Maintains the reception area in a clean and orderly manner. Assists with maintaining lobby as a safe environment and free of hazards. Reports spills or hazards to housekeeping and facilities maintenance as needed.
- Prepares and submits request forms for medical and clerical supplies that include office schedules special items stock level changes new items to be added to the issue book or supply warehouse.
- Submits monthly supply orders per General Services issue schedules. Restocks depleted supply items daily per supply order list. Places supplies in unit stock room maintaining stock room in an orderly and clean condition.
- Maintains adequate clerical supplies and medical forms at all work stations and the reception area.
- Receives and delivers clinical mail to appropriate mail drop or office. Delivers interdepartmental messages as requested by Dental Clinic supervisors.
- Assists with patient utilization and satisfaction surveys.
- Supports and promotes unit facility and FDIHB Inc. vision and mission objectives. Involved in multiple aspects of departmental and community oral health programs and Health Promotion Disease Prevention (HPDP) projects as determined by supervisor.
- Attends trainings in-services Pod and Dental Clinic meetings to maintain currency of expected standards.
- Communicates administrative updates to clinical staff at Dental Clinic meetings.
- Performs special assignments as requested to fulfill objectives to the unit a specific clinic or the facility.
- Performs other duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS
Experience: Two (2) years of direct work experience.
Education: High School Diploma or Equivalency (HSE).
